Collecting Regrets for Events?

Is anyone collecting regrets in addition to registrations/ticket purchases through Convio's Events module? If so, how are you doing it?

Our Alumni Relations and Development team has indicated it would be helpful to be able to collect YES and NO responses (including rationale - i.e. travelling date of luncheon) similar to what is done in Evite. This is particullarly important for our older alumni who consider it impolite to NOT respond to an invitation.

Our one thought has been to set up a regrets email address and link to it directly from email invitations and event web pages. Other ideas would be greatly appreciated!

  • Excellent question. Our organization has had the exact same question. I asked Convio Help and they said that there is no way to record a "no" (i,e, regret) in the RSVP.

    Since there is no way to do it in the typical way, does any one have any suggestions of more creative ways of collecting regrets? I see the suggestion above for simply typing in an e-mail to send regrets to. One person in Convio support suggested that i create a survey instead of an event. I was also thinking of trying to have a question in the event for regrets. 

    Instead of trial and error, does anyone know if any of these ideas would work? any potential pitfalls? any better ideas?

    If you'd like to see this be part of Luminate Calendar please upvote the Allow Calendar Event Admins to Add a Regrets or RSVP No button idea in the Luminate ideas portal.

    At George Washington University we do have a process to capture events on high-level events. To capture regrets the event support staff needs to:

    • Create a new Luminate survey form to capture regrets specific to the event. There are several examples already in Luminate titled "RSVP No" that can be copied
    • Along with creating the survey, understanding survey page wrappers, and capturing name and email, it is important to build a confirmation page that users reach after they submit regrets (this is done in PageBuilder; again, pages titled "RSVP No" can be copied).
    • The support staff needs to set up the survey so that anyone who submits regrets will automatically populate a Luminate group (this group will be opted out of future emails). Not all event creators are familiar with Luminate survey / form functionality so this will require training.
    • After the survey is built, the regrets / RSVP No link should be added to the event detail page as a text link and not the primary call-to-action on the event details page. Registration (Yes, I want to attend) needs to be clearly the most prominent call to action.
    • Regrets that come in over the phone can be added to the regrets group on the back-end, admin side of Luminate
    • It's important to note that if an RSVP No is employed that anyone who responds to the RSVP No survey needs to be put in a Luminate group and that Luminate group needs to get back to our email marketers so they can opt-out anyone who completes the "RSVP No" survey from future invitations to the event to which they sent regrets.
