How do I force records to sync through my Common Ground DataSync?

Here's the way to update the records in Common Ground to force them to sync to Convio:



First you will need to create a custom field:

1. Go to Setup > Customize > Contacts > Fields

2. Scroll down to Contact Custom Fields & Relationships and click New

3. Select Checkbox and click Next

4. Name the field and set the default value to Unchecked. Click Next.

5. Click Next and then Save.



Now run and export a report to obtain all contacts with a mailing address:

1. Go to Reports tab and click on Mailing List under Account and Contact Reports

2. Click Next

3. Click the Deselect All Columns at the top right and select the following columns:First Name,Last Name,Contact ID, and the field you created above.

4. Skip to the Select Criteria step. Set the View to All accounts and clear the start and end dates.

5. Under Advanced Filters enter the criteria for the contacts the need to be updated.

6. Run Report.

7. Export this to a .csv file.

8. Type TRUE into the first row of the column the field you created above.. Copy/paste that value down to the last row of the file so all contacts now have TRUE in that column.

9. Delete the part at the bottom that says the report name, etc.

10. Save the file.



To update the records:

1. go to Setup > Administration Setup > Data Management > Import Accounts/Contacts.

2. Click the Start the Import Wizard link and Next.

3. Browse to upload the file you saved.

4. Change Contact Matching Type to Salesforce.com ID and click Next.

5. The fields should automatically map to the correct field but double-check that the field you created above is mapped correctly.

6. Click Next until you get to step 8.

7. Click Import Now!

8. You'll receive an email from Salesforce in a few minutes indicating that the contacts were updated. You can now delete this field by going to Go to Setup > Customize > Contacts > Fields and click the Del link next tothe name the field you created above. Accept any warnings they give you.



When the sync next runs all of these contacts will be updated in Convio based on the information in their corresponding Common Ground contact record.
