Donor Retention

Options
I have been tasked with find out the below reports on donor retention.  I am having great diffaculty completing these.  I was wondering if anyone had any insight.  I was asked to have 3 reports (alumni & individual giving, event giving, and all).  I usually run into problem when i try to specify funds either through queries or reports.  For each question i have been asked $ and # of donors but only listed $.  Here are the questions I have been taked with;

  • $ gained from new donors in current year
  • $ gained from recaptured donors (former donors who did not give in previous year)
  • $ gained from upgraded donors (donors who increased their gift from previous year)
Same:
  • $ from donors who gave the same amount as in previous year
Losses:
  • $ lost from downgraded donors (donors who gave less in the current year than in previous year)
  • $ lost from lapsed new donors (new donors in the previous year who did not give in current year)
  • $ lost from lapsed repeat donors (repeat donors in previous year who did not give in current year)

  • Hi Jesse,

I can help you with these reports - I use dashboards to get the data.

Please email me at kcourville@norwoodschool.org and we can work through it.

    :)
  • Have you looked at utlizing Analytical Reports?  There is a Comparative Report (year to year), and First/Greatest/Last Gift Report, New Donors Report.

And you have the query output option so you can them pull the query through Export if you want other fields included.
  • I would suggest using a Query combined with either Export or Report (depending what output info you need). For example, for newly acquired donors who gave to Events this year, you could use a Constituent Query:

Constituent Date Added > 01/01/2015 (alternatively you could use First Gift DAte > 01/01/2015)

AND Summary Information - Summary for Gift -- Total # of Gifts greater than or equal to 1 when Filtered by X, Y, or Z Event Funds

Then, use an Export to obtain your output data:

Summary information -- Gifts -- total number of gifts (when gift date = last fiscal year)

    and total Gift amount

Or, you could link your Query to a Gift Detail and Summary report (or a Statistical Report using a Funds field), where Gift Date = last fiscal year. But, while the Export will tell you how many gifts EACH donor gave to ALL specified Funds, the Gift Summary Report will tell you how many gifts ALL your new donors gave to EACH of your Funds.

  • Have you looked in Reports? The Analytical Reports provide information to a lot of your questions. I would begin there.
  • the reason i am asking is becuase the reports do not do the job 100%.  I want to find specific funds and when filtering those funds it's finding people who are new to just that fund not in general, so i've had to do a lot of queries and reports and i don't think i'm doing it 100% correctly becuase my numbers don't add up
  • We use AFP (Association of Fundraising Professionals)'s Growth in Giving report. It has directions that walk you through pulling a query and entering it onto a pre-made excel spreadsheet with macros and it gives you all of that information & more! We pull this every February for the prior year to benchmark how we're doing.

The downloadable templates and instructions are all here: http://www.afpnet.org// (#2 is the template, #3 is about how to read the report, #4 is instructions on building the report.)

Edit: I saw that while I was posting this, you said you needed to get down to the fund level. Using this report you can modify your query to only include certain funds and insert it into the spreadsheet if that's something you need to do.

(If pulling the one query is too much, you can also go to plug ins > fundraising effectiveness project plug in, but we found we liked having more control than that provided.)
  • Oh, this is great. The RE 'canned' reports were just not working for me.
