Confidentiality Agreement/Policy

We are wanting to create a specific document for users of RE to sign upon employment or maybe even annually that would cover the database and all donor interactions/communications. Does anyone already have one already that you would be willing to share?

  • This is what I just got from our HR department.  It is currently under review/revision by the HR team, as part of a regular document review.  And it's primarily covering those who work with client data (we are a social service organization, providing mental health services, and some of our data is HIPPA protected).  We are about to bring on board two volunteers in our Development and Marketing Departments, so will probably be adjusting the language from client to donor, or at least adding donor in.
  • Thanks, Jen. That is a fairly simple one compared to what I have seen online which makes it easier to implement. We are also wondering if people have a different policy for donor confidentiality than regular client data (as a homeless shelter we also have some HIPAA concerns) or if they lump it all into one. 
  • Depending on the work your staff will do and how many staff you have, I would consider using one document that covers everything and applies to clients and donors...that way, if someone is working with donor information and there's a project that comes up suddenly that that person could help with on the client side, they've already signed the appropriate documents and nothing further is needed (and no time is wasted finding out whether that person needs to sign something additional).
