Adding previous donations to a new pledge

Hello everyone!

I have a question that has come up a couple times in the past, but it's occuring more frequently now as we start 'round 2' of fundraising.


We have many donors who have given one time gifts in the past, sometimes a couple gifts over the past couple years on fairly regular schedules but they've always only been one time gifts. After further cultivation, many of these folks are now creating pledges of larger amounts, but they would like to count those previous donations as a part of the pledge. ie: We gave $1000 in May of 2014, another $1000 in May of 2015, but now we'd like to officially pledge $10k counting those previous two gifts, another in 2016 and 7 more to come.


So I create a pledge in May 2016 with thier $1000 May 2016 check. Is there a way to apply the previous donations (the 2014 and 2015 gifts) to a brand new pledge?

Do I just alter the date on those donations? Delete them and reenter as pledge payments? Create the pledge as being '$8,000' with a note saying it also includes the previous $2k?

Is there an easy function in etapestry that I'm missing, or a best practices for something like this?


Any help or thoughts would be greatly appreciated.

  • As a follow up, suppose I have a pledge payment that accidentally gets added as a regular gift. Can I re-apply this gift as a pledge payment or do I have to delete the gift and add a payment?

    Good question, and yes, this comes up a lot within different organizations. Here is a link to our Knowledgebase article that walks you through converting a one time gift into a payment that can be applied to a pledge: https://kb.blackbaud.com/articles/Article/62854


    We don't recommend deleting the old transactions because you always want to keep record of the original transaction. Instead the steps guide you through reversing that transaction and then manually creating a pledge.
