Globally Change Key Indicator

Is it possible (via Import or Global Change) to change records from Individual records to Organization records? We've just discovered between 800 - 1600 records marked as Individual but that should be marked Organizational records. Going through them all to change them is going to take awhile and I tried to run an Update Import and changing the KeyInd to "O" but that didn't seem to work.

  • Because there are fundamental differences that might need to be addressed for each record (no First Name field, etc.), you can't do a Global Change (or Update Import) from "I" to "O" or vice versa.

    I figured - same applies for an Import?

  • You can Import the Key Indicator field, but only for new Constituent Records.  So you could Export data from an Individual Record, Import as a new Organization Record, and then Globally Delete the Individual Records.  But that might be more of a pain than it's worth...depending on how much data is on those records.
  • Whew -- Jen's answer would probably work, but I second her advice not to enter into this lightly. I'd only do thisif there wasn't any other info on the record like gifts, appeals, relationships... It could easily get out of hand if you aren't very careful.


    I've given this advice before, but I think you need to make a query of these records and see if you can narrow it down to the records that are most currently relevant to you and start working through it from there. If you are left with 1000 from 10 years ago with no activity that aren't relevant to your org any longer, then you may be better off letting it go. I'd hold on to the query and work through a few at a time though, just not let it be a priority.


    Idealy, we would all have clean, dupe-free databases, but most of us have limited staff and those staff have no more than two hands and 24 hours in a day, and only 7-8 of those at work (hopefully). Get to what you can based on what is important.
