The Congenital Heart Walk (CHW) program is seeking a full-time Congenital Heart Walk Coordinator. CHW is currently entering its seventh year and has grown annually. In 2016, CHW events will take place in more than 30 cities across the United States, engage thousands of volunteers, walkers and supporters, and raise over $2 million. The program is a partnership between The Children's Heart Foundation (CHF) and the Adult Congenital Heart Association (ACHA), with the goal of raising funds and awareness around congenital heart defects, the most common birth defect in the country. CHW brings together patients, families and medical professionals to connect locally, raise the profile of this important issue, and raise vital funds for research and programming aimed to educate, support, and advocate for the congenital heart disease community.

Position Summary: The Congenital Heart Walk Coordinator will provide essential support to the growing success of the CHW program. The Congenital Heart Walk Coordinator will work collaboratively with CHF and ACHA staff and leadership in support of volunteer site leaders, site committee members, vendors, local hospitals and congenital heart disease programs. Overall duties include walk site development support, volunteer support, fundraising coordination, and marketing and communication coordination.

Job Responsibilities:

Walk Site Development

  • Participate in strategic planning in collaboration with ACHA and CHF staff and leadership.
  • Develop and implement an annual operational plan that includes detailed budget, team development, corporate development, volunteer development, communication and marketing strategies, and logistic plans.
  • Identify new CHW sites by targeting markets to identify walk site leaders and fielding volunteer inquiries.
  • Develop, implement and manage CHW site timelines and benchmarks.
  • Oversee CHW site budgets by tracking all income and expenses, and making projection adjustments as needed.
  • Organize annual site evaluation processes for all CHW sites and an annual evaluation of the CHW program.
  • Build CHW committee structures by helping to recruit committee members, creating committee structures in collaboration with walk site leaders, and evaluating committee performances.
  • Develop and manage a walk site leader retention strategy plan to ensure long-term retention and seamless transition among walk site leadership.

Volunteer Support

  • In collaboration with walk site leaders, coordinate every aspect of event implementation including logistics, necessary permits and permissions according to municipality, event insurance, etc.
  • Manage all financial processes including reimbursement and expense requests, sponsorship invoice requests, day of walk registration and donation coordination, etc.
  • Support walk site leaders in hosting support events, including kick-off events, post events, third party fundraising events, etc.
  • Attend a portion of CHW events in the spring and fall seasons. Weekend travel is required.
  • Schedule and lead regular walk site leader virtual trainings and meetings.
  • Develop and coordinate a CHW volunteer training program.
  • Manage and attend committee meetings.
  • Develop effective working relationships with walk site leaders and committee members to implement and grow the participation and revenues for CHW events.
  • Develop, maintain and communicate CHW volunteer guides, procedures, forms, etc.

Fundraising

  • Create and implement ways to increase walker and team participation and support walk site leaders in driving walker participation and team development.
  • Support walk site leaders in identifying and securing local in-kind and cash sponsorships.
  • Coordinate with and support ACHA and CHF national staff in identifying and securing national in-kind and cash sponsorships.

Marketing and Communications

  • Create and coordinate printed marketing materials.
  • Oversee incentive program and fulfillment.
  • Develop and implement an expanded social media strategy.
  • Create and manage online fundraising websites for each CHW event.
  • Manage content on the national CHW website and existing social media platforms.
  • Coordinate all e-mail marketing activity to CHW database, CHF and ACHA databases.
  • Manage all e-mail marketing activity to CHW database through national and site-specific e-mail blasts.
  • Develop local and national advertising and PR efforts to support CHW.

Other Responsibilities

  • Manage the CHW database to ensure accurate data entry and conduct regular reports for ACHA and CHF leadership and walk site leaders.
  • Maintain accurate files and event lists that are made available for ACHA and CHF access.

Minimum Qualifications: We are seeking an extremely organized, highly detail-focused individual who can be flexible in responding to the communications needs of a small, fast-moving nonprofit.

  • Bachelor's Degree required.
  • Minimum of 3 years experience in volunteer management, event management and fundraising.
  • Minimum of 1-2 years experience in walk-a-thon and/or races.
  • Experience with Blackbaud's TeamRaiser database software.
  • Experience in web content management required; experience with web development and/or HTML preferred.
  • Capable of building and sustaining relationships with a variety of individuals and organizations.
  • Outgoing, energetic, with strong written, verbal and problem solving skills.
  • Diplomatic and able to work well under pressure.
  • Ability to adhere to timelines, and prioritize and manage multiple projects simultaneously.
  • Must be able to work nights as needed for walk site committee planning virtual meetings.
  • Must be able to travel frequently

Schedule: This position is full-time at 40 hours/week.

Location: Based out of the Congenital Heart Walk National office in Philadelphia, PA
