Special Olympics Ontario (SOO) is a volunteer driven, grass roots organization that operates in 135 communities with 1,900 sport clubs.  Weekly sport training takes place throughout the province in 18 sport disciplines for some 21,000 athletes with intellectual disabilities supported by 8,500 volunteers.  As a charity we process all fund raising revenues and donations generated province wide through our provincial office with an annual budget of 8.5 million dollars.

 

We are looking for an enthusiastic and dedicated individual to apply his/her superior knowledge and experience of Raiser’s Edge to accommodate the high volume of data entry, gift processing, donor relations and data management. 

 

The Donor Relations Administrator will work closely with the Marketing staff team and the Finance and Administration team as well as being seen as an active contributor and team member of the SOO staff as a whole. The Donor Relations Administrator is responsible for ensuring consistency, continuity and integrity of the SOO Raiser’s Edge program.

 

The incumbent will have at least three years hands on experience with Raiser’s Edge. S/He must be an exceptionally organized individual with excellent written and oral communication skills and must be familiar with the use of major computer packages.  

 
The Position:

 

Reporting to the Manager of Marketing, the Donor Relations Administrator is responsible for gift processing, database management and donor relations.

 
Key Responsibilities:

 
Gift Processing

 
  • Responsible for all online transactions, (FrontStream) both monthly and single donation gift processing, as well as online payments, including importing or batching online entries into Raisers Edge.
  • Responsible for ensuring online receipt reports are accurately maintained, including reissuing replacement receipts for audit and control purposes.
  • Ensures that gifts are entered accurately into Raiser’s Edge using appropriate appeal, campaign, solicitor and fund codes;
  • Ensures tax receipts and thank you letters are generated on a timely basis;
  • Provides guidance in determining the appropriate Raiser’s Edge codes to assigned fundraisers  and gift processing to ensure accurate and consistent data entry;
  • Provide coaching and mentoring on Raisers Edge to staff as required;
  • Coordinate and prioritize the workflow for gift processing.
 

 
Database management

 
  • Responsible for maintaining  and updating Raiser’s Edge, in particular as it relates to code maintenance;
  • Develop standardized reports and queries, as well as create custom reports as required;
  • Develop, document and communicate database policies , standard procedures and best practices for staff in order to develop protocols  for database management;
  • Creates and runs database audits to ensure data integrity and accuracy.
 
Donor Relations

 
  • Provide excellent donor  relations to  donors, in terms of timely response to inquiries and requests,  as well as provision of annual year-end consolidated receipts to donors;
 
Skills and Experience

 
  • Superior knowledge of Raiser’s Edge  as well as three years  “hands on “ experience;
  • Familiarity and knowledge of Argo Fire payment processing software, and  in particular reporting requirements;
  • Proficiency with MS Office including Word, Excel and Outlook;
  • Strong interpersonal skills and ability to work effectively in a team environment;
  • Excellent analytical and problem-solving skills
  • Detail oriented
  • Ability to take initiative and work relatively independently
  • Knowledge of and hands on experience in donor management, gift processing and fundraising
  • Capacity and skill to evaluate existing procedures and provide recommendations to improve processes
  • Project management skills and experience would be considered an asset
