The Capital Campaign Coordinator will coordinate many levels of activities for the Development Department at the Aquarium of the Pacific, with special emphasis on capital campaign initiatives. Such activities may include, but aren’t limited to, implementing and tracking annual giving programs, tracking stewardship activities for grants, major gifts and campaign programs, as well as any and all coordination of specific capital campaign activities. This position must be proficient in Raiser’s Edge and be able to utilize it as a tool to keep the goals and objectives of the Development Department on target.

 
The Capital Campaign Coordinator’s Responsibilities Include:

• Organize agenda for the scheduled meetings of the Capital Campaign Steering Committee including taking and submitting meetings minutes where appropriate, tracking all committee member assignments and progress, and schedule any follow-up meetings as prescribed
• Utilize Raiser’s Edge to ensure all identification, qualification, cultivation and stewardship activities related to individual, foundation and corporate prospects are tracked and completed in timeframes prescribed
• Coordinate annual giving appeal timelines as well as manage segmented appeal lists to ensure direct mail programs are implemented efficiently based on pre-determined deadlines and collateral materials are forwarded to mailhouses successfully
• Analyze annual giving data twice a year to yield qualified prospects eligible for Pacific Circle upgrades
• Ensure proper stewardship of campaign prospects and major gift donors by tracking and accurately reporting on donor activity, preparing pledge reminders, and creating specialty reports as requested
• Assist with planning and implementation of departmental cultivation and stewardship events, including lunches, meetings, tours, solicitations and creation of production of any necessary collateral materials
• Maintain inventory of all campaign and development-related collateral materials
• Code and track campaign expenses and maintain an overall expense budget
• Perform all other duties as assigned to ensure successful capital campaign and development outcomes

 
Qualifications

• Previous experience in fundraising for non-profit institutions, preferably cultural institutions
• Previous experience working directly with donors
• Previous experience working with members Boards of Trustees in non-profit organizations
• Proven ability to handle multiple assignments
• Previous experience in donor privacy and diplomacy
• Knowledge of the Aquarium and the community preferred
