Duplicate Education Information on Records

Options
Hello,

I am having an issue with duplicate education information on our alumni records. The individual who was in charge previously at my shop had very little Raiser's Edge knowledge and ended up importing duplicate education on the relationship tab of over 4,000 records. Now when I try to run certain reports (for example: almuni with more than one degree in our database) it doesn't give me an accurate snapshot. Is it possible to delete that information without having to manually go through each record? Any advice would be greatly appericated.

Thank you.

  • Hi Parker,

I've had similar issues.  I'm assuming that if there are two Education records, one must be marked primary?  Do you include the Primary Education relationship parameter?  This could be done in a Query and then attached to your report.  If the duplicate entries are identical, containing the same degree, class of info, etc, that should help solve the problem.

    Nichole

  • It's possible for a constituent record to have one or more education records without any of them being marked as primary. Same goes for business relationships.

We have a similar issue with education, as we use ImportOmatic to import data from our student record system which uses graduation date (amongst other fields) to match the incoming record to the existing education information - of course the graduation date is normally the last field populated so we end up with one or more education records with no graduation date, plus one with.
  • I've had a similar issue in the past. Unfortunately, I ended up cleaning it up one by one.
  • Hi.  We had a similar challenge a few years ago and Blackbaud offered a DEFUNKED school plug-in which essentially globally deleted any education record that was marked as type=Defunked.  I believe we had to identify the affected records and change their type to Defunked, then the utility pulled them from the records.  I would think that BB still offers this plug in.  good luck!

  • Are these duplicates for your School?  or a multitude of schools.  If it's not your school, I think it will be a manual job.  15 minutes a day and that should be done in a couple months.

If they are your school.  One of the records is marked Primary and the other is not.  A query of your school name and Not primary should pull up those 4,000 records -- or do you already have a query that can pull just that group?  Then you should be able to globally delete them.

    Hi

Global deleting is not an option for education.

That defunked plug-in works by the way. They made it for me years ago.

Although there was a bit of a communication accent problem because it was meant to be "defunct" !

    lol
