Event Registration - Sponsors with Complimentary Tickets

I am setting up an event registration form for our annual golf tournament and am stumped as to how to enter sponsorships that receive complimentary tickets so that we can gather the names of each person who will be using the complimentary tickets. For example, our signature sponsor receives a complimentary foursome. If they use the online form to indicate that they want that sponsorship level, the form only provides space to fill in for one participant. If I make it show four participants, the sponsorship amount multiples by 4. How do you set up a form to get the event attendee information for all tickets that are included as part of the sponsorship package.

  • We do this all the time (although I wouldn't call the tickets "complimentary", as they are paying money to receive the tickets.) On the price types table, you set the Registrants Number to the number of tickets they receive. We always set the "Max" column to 1. So sponsors select one sponsorship level, then they are prompted to enter guest information for as many tickets were included on the Registrants Number section.
  • On the first tab, you can tell it the "registrants number".  That tells Online Express that if that price is selected, you need the names of that many people. See below on our Table Sponsor option:

    It won't let me add more than 10 registrants but one of our sponsor packages, Presenting Sponsor, gets 3 foursomes which means I need 12 registrants. How am I supposed to work around this?

  • I'm sorry- I spoke too soon on this last reply. It will let me have 12 registrants, but no more than 10 Max allowed per price. Does that mean that once 10 sponsors sign up for that particular line item that no more can? "Foursome" is one of our sponsorship levels and we will certainly sell more than 10 of these.

    That max is per transaction, so as long as you don't have anyone who needs to register more than 10 foursomes at a time, you should be fine :)


    There is another spot in OEX to limit overall registration, if you need that.

  • Yes, please, Steph. Where is this spot in OEX to limit overall registration? And can you limit the total number of tickets sold in each category overall (not just for the event)?
  • It's on the Extras tab - "Do you want to limit this event's online capacity?" We've never used it for our events, but it doesn't look like you can limit per registration type.
