Creating an Email List

Options
I tried to use a query to create a new email recipient list. In my query, I can see 1,299 emails. However, when I hit "create list" it shows that only 8 people will be receiving the email. What am I doing wrong?

  • Do you have your Email Mapping set up properly?  In OLX: Account > Integration Options > Email Mapping > set your First, Second, and Third email types and check/uncheck the [Send to ALL Mapped Types] box as desired.


    I know the numbers never match exactly for us because we have some records where the husband and wife each have a record and the same email address is on both records.  OLX counts as 1 while RE counts as 2.


    You might also see some discrepancy when you look at stats for a message sent.  I think (I could be wrong, and it could possibly be affecting your current dilemma if I am) that OLX counts all email addresses of the mapped types when showing you the number on the List, but then OLX automatically removes those who have unsubscribed or hard-bounced when it sends a message, resulting in a different Received number.


    When you figure out the specific answer(s) to your situation, please come back and post for others that may have the same problem.


    If it's not simple and easily found, contact OLX Chat Support.  But I hope it is simple...and easily found...and quickly!

     
  • Jennifer--this is interesting stuff, and I need to check it out for our organization as well.


    We're using 7.whatever, and I can't find integration options in our OLX. 


    I'm looking at the options in the Account drop-down menu. Is that the wrong place?

  • Mary:  That's exactly where I'm talking about, but in my RE:7.95 it shows [Integration Options] between [Email Notifications] and [BBMS Options].  Not sure why...  Possibly a version change, if you're still on 7.93 or earlier?  I don't remember when we got OLX and were Locally Installed on 7.93 but I'm sure that option was already there.  I would recommend a quick OLX Chat Support session to ask.  There are other things under that menu that I think you would want access to.
  • I see the same menu options as Mary. I think I may need to have a support chat like you suggested!
  • If you don't see the Integration Options choice under the Account menu, that's generally because your RE user account doesn't have Supervisor privileges. Because the Integration Options allow you to establish security in OLX, only Supervisor users can reach that option.


    And I believe Jennifer is spot on with the explanation of the difference between your query count in RE and the recipient count in OLX. To use an extreme example, if your query in RE finds 1,000 records but none of them have any email addresses whose "type" is a mapped type that you've told OLX to look for, then your recipient count for the purposes of an OLX email would be zero.

    We're using the latest version of hosted RE.


    I talked to RE support, and the problem is that I wasn't logged in as supervisor. In its typical unhelpful fashion, the RE knowledge base does not mention that one must be logged in as supervisor in order to access those options.


    All sorted now.

    know that the knowledgebase article that describes the solution to
    the problem you had exists. So I just did a quick search at
    kb.blackbaud.com. I searched on the phrase “Online Express
    Integration Options”. The KB with the helpful answer has a
    less-helpful title. It’s called How to set up security in Online
    Express. If you don’t know that the reason you’re not finding
    Integration Options is related to security settings in OLX, then
    you wouldn’t know to click into that article.

     

    I’ll ask our Support team to
    either broaden he title or create an additional article to help
    folks who are looking for the Integration Options link.

    Thank you for this information that solved my same issue.  We did an EmailFinder and I was missing all of the emailfinder type.
