Summary:

 

Reporting to the Director of Development Operations, the Development Associate – Special Events Operations supports data entry and data output efforts of revenue-producing fundraising events for Care Dimensions. S/he is responsible for accurately recording up to $1,000,000 in donations. This includes gift entry, acknowledgement, reporting and event data analysis. This position works closely with the Finance department to ensure reconciliation between the Raiser’s Edge donor data base and accounting systems. Additional duties include providing day-of support and staffing at both onsite and offsite events.

 

Qualifications:

 

Bachelor’s degree or equivalent experience preferred.

 

Minimum two years of relevant experience. 

 

Demonstrated ability to provide superior customer service and apply sound judgment when dealing with donors, volunteers and vendors.

 

Proven organizational skills with experience in positions requiring strict attention to detail.

 

Proficient in MS Word, Excel, Outlook. 

 

Development database knowledge strongly desired with knowledge of Raiser’s Edge preferred.

 

Performance Standards: Proficient in responsibilities specific to the position.

 

Processes all event registration and donations, both on and offline, including data entry, receipts,  acknowledgements and reports. Enters and reconciles donations through web-based credit card systems and imports donations into Raiser’s Edge from third party vendors. Adheres to Care Dimensions gift processing procedures regarding timely processing of all gifts.

 

Oversees all mailings and reports for events by creating, running and exporting queries from the database and coordinating fulfillment of the mailings.

 

Manages the data entry of all gift types including capital campaign donations, payroll deductions, matching gifts, in-kind donations and pledges. Mails pledge reminders as appropriate.

 

 

Manages data integrity in Raiser’s Edge by conducting database analysis on a weekly/monthly basis. Is the department’s liaison for the database, creating new records, solicit code updates and merging records.

 

Ensures that all event activity (committee, volunteers, vendors, attendees, etc.) is tracked and accurately recorded in Raiser’s Edge; updates event spreadsheets for staff’s shared file access; prepares post-event reports and analyses.

 

Reconciles the Development database with the Finance department’s general ledger on a monthly basis and provides the Development staff with fundraising reports.

 

Works with Marketing Department to ensure that special events information on Care Dimensions web site is current and complete. 

 

Oversees both telephone and email support to event participants. Gives superior customer service and maintains a professional, considerate demeanor.

Supports event-related meetings; arranges meeting room including AV, prepares meeting materials, and drafts and distributes meeting minutes.

Assists the Special Events manager by coordinating attendee lists, name tags and records pertinent event information in Raiser’s Edge.

Oversees special event mailings by executing data pulls, coordinating design, printing and mailing.

 

Assists the Special Events Manager with the execution of signature event materials and logistics, including merchandise, event supplies, auction and tribute books and light catering. Maintains lists, inventory and coordinates stewardship follow-up as needed.

Provides administrative support to the department as needed including the preparation of letters, reports, presentations, spreadsheets, and analyses. 

Cross-trains with Development Associate – Memorial and Annual Giving in gift entry and donor acknowledgments.  Provides back-up support during vacations, peak periods, and as requested.

 

Attends all Care Dimensions special fundraising events.

 

Ability to work evenings and weekends as needed.
