The need to record offline donations in Convio Admin?

Options

Hi All,

This is Asha from Illinois Action for Children. On last week's Office Hours call, the topic of how to input offline donations into Convio Admin came up. I am still unclear on why we'd need to input offline donations into Convio Admin, when we have CommonGround? Can someone please explain.

Previously, it was my understanding that 360 is for automatically recording online donations made, and that CommonGround is for manually inputting check or cash--really all non online donations. And then the connector shares their information overnight... Also, I know that 360's info goes into CommonGround, but does CG's info also go back into 360? Please let know... Also, is there an existing post with the steps/outline for how to enter offline donations into ConvioAdmin?

Thanks much!

To answer your other questions, let's first make sure we're on the same page.

Imagine you get a return envelope with a donor's credit card information written on it. Where do you go to input that card info and process their offline credit card gift? The answer is Convio using the steps in the post above. Once the gift is processed by Convio, it is synched just like any online  gift into Common Ground during the nightly run of the Connector.

Why don't you use Common Ground to process that offline credit card gift? Common Ground is probably not set up to send credit card transaction information to your online merchant account (unless you went through that additional step which is not necessary if you also use COM). Most clients simply process their offline credit card gifts using the instructions in the post above.

You don't process cash and check gifts online obviously. You just deposit them into your bank account and enter that gift info into Common Ground. Any new donor emails will synch over to COM from CG via the Connector.

If this doesn't answer your questions, post back and we'll get it sorted out.

    Thanks,
