consultant to help expand our use of RE

Options

The client uses Raiser's Edge in a setup that includes 12 users across the organization. The organization has a main development office and four projects that also pursue their own fundraising.

 

We are seeking a specialist to help clean up the database, create a variety of reports, help create appropriate policies for data input and management, train some key staff, and implement additional features not currently in use. Please see below.

 

The project is being managed by a consultant who will lead in knowledge gathering from stakeholders and work with the specialist who will deliver the technical components of the project.

 

We are seeking a proposal based on the below list of requirements. The specifics will come in the first phase of the project so your proposal should include assumptions for time spent training, number of reports created, time spent meeting with consultant, etc.

 
  • Translating the stewardship strategy of S&D into RE functionality, including the implementation of donor tiers, tracking of donor movement through “pipelines,” and creation of targeted and segmented groups

  • Synchronization of Client’s RE system with institution-wide email system for sending of e-news and correspondence, including invitations and letter updates

  • Gender neutrality sweep, to include the removal of gendered personal titles, within RE, and therefore, all of Client’s correspondences

  • RE training, professional development, and support for Client employees who have access to RE

  • Managing the regulation of Client-wide RE access

  • Managing and updating the structural integrity of the database

  • Regulating the uniformity of RE record entry and attribute input, including but not limited to the following features: household giving, soft-crediting, addresses and salutations, NCOA updates

  • Creation and launch of online Client donor pages, transitioning CLient from paper giving processes to paperless processes, allowing donors and members to create profiles and have real-time access to giving records

  • Synchronization of RE and Finance’s General Ledger

  • Implementing uses of various RE functionalities and reporting capabilities that are yet unused

  • Coding reports for preparing mailings, including for different targeted groups

  • Creation of an index of definitions and listing of the coding structure of all reports, to be distributed to senior staff

  • Creation of automated scheduled reports to enable review of data inputted in RE, especially gift and constituent coding by Finance according to agreed upon definitions (bequests, soft crediting, pledge payment, etc)

  • Application of retroactive attributes (household reporting, etc)

  • Creation of updated giving reports for daily review by S&D and senior leadership

  • Creating reports to be used by Finance to reconcile general ledger and RE data

  • Review of Client giving structures and S&D strategic goals, ensuring use of system is in alignment with ongoing departmental and institutional vision

  • Training of full time database manager to maintain system/reports/policies/standards/etc. created in this project
