JPCatholic is accepting applications for a Registrar. The Registrar is a critical position charged with the integrity and maintenance of academic records, student registration, graduation, compliance with WASC, DoED, BPPE, and FERPA regulations, and the establishment and maintenance of processes for the consistent administration of policies and procedures. The Registrar supervises the Associate Registrar, serves on a variety of faculty and institutional committees and participates in the development and implementation of University policy. This position requires an innovative leader to oversees the development, implementation and management of systems related to academic records, course inventory, course catalogs, class scheduling and student registration.

The successful candidate will demonstrate a commitment to the advancement of JP Catholic's curriculum by providing guidance, advice, and vision regarding policies and procedures to appropriate campus constituencies.

The Registrar:

  • Maintains and guarantees the security and integrity of all official student records.
  • Ensures institutional compliance with WASC, the Family Educational Rights and Privacy Act (FERPA) and other Federal and State regulations.
  • Records student grades and maintains records of credits earned toward degree requirements.
  • Maintains, updates, and troubleshoots degree audit system based on academic degree requirements.
  • Maintains lists of all candidates for graduation and certifies the completion of all requirements for graduation.
  • Develops and ensures compliance with policies and procedures for the class registration processes.
  • Collaborates with Transfer Office to evaluate transfer credit.
  • Works with department chairs, faculty, and Deans to develop quarterly course offerings, program requirements and curriculum exceptions.
  • Develops and maintains class schedules and room assignments.
  • Oversees maintenance of the University catalog.
  • Oversees the issuing of official college transcripts, diplomas and degree and enrollment verification.
  • Researches, analyzes, and resolves student disputes as they relate to records and registration.
  • Contributes to University governance as a member of committees, as required.

Knowledge, Skills and Abilities: The Registrar will:

  • Model the University's mission and quickly learn University policies and procedures.
  • Establish and maintain cooperative and effective working relationships with others, while functioning well as a team member.
  • Think creatively to develop solutions to perform complex tasks and to manage the Blackbaud Student Information systems.
  • Interpret complex regularity policies and procedures.
  • Organize, coordinate and oversee office activities, and manage several projects concurrently.
  • Maintain records and generate reports.
  • Learn, interpret, apply and explain rules, regulations, policies and procedures.

Minimum Qualifications:

  • Master's degree with at least two successful years of related experience in an enrollment services environment (e.g. Admissions or Registrar's Office).
  • Extensive experience preferably with Blackbaud or another student information system (SIS).
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
  • Strong communication and interpersonal skills with experience interacting with students, parents, faculty, staff and the general public.
  • Ability to manage multiple time-critical projects, effectively prioritize work and adjust to changing workloads and deadlines with attention to detail, deadlines.
  • Organizational skills with the ability to work independently.
  • Critical thinking and problem solving skills.
  • Ability to maintain a high level of discretion and confidentiality.
  • Commitment to professional growth and development through active involvement in relevant professional organizations (e.g. American Association of Collegiate Registrars and Admissions Officers - AACRAO).
