JOB SUMMARY (OVERVIEW)

With an in-depth understanding of new, emerging, and existing technologies and tools, the Director of Advancement Operations & Systems is responsible for overseeing and directing the division’s operational systems and processes in order to support an efficient, comprehensive and cohesive approach to engagement.  The incumbent will review and evaluate existing systems and structures and recommend and implement suggestions, modifications or enhancements as appropriate.  The incumbent will serve as the primary liaison with the College’s Information Technology and Finance divisions and will work to ensure that all of the required constituent related data is accurate and up to date. The Director Advancement Operations & Systems will manage the Advancement Services team members who are responsible for all data entry, deposit and gift processing, reporting, transactions, and custom queries.  The Director, Advancement Operations & Systems will also proactively engage with the Prospect Research area to ensure that the fundraising databases facilitate a strategic, integrated program of prospect identification, research and donor management in support of the Institutional Engagement area and fundraising goals.

 

SECTION 3: ESSENTIAL FUNCTIONS/DUTIES:
  1. Oversees the functions in Institutional Engagement related to the College’s data management needs for fundraising goals including operational requirements, systems development and documentation, information management, analysis and fundraising systems support.
  2. Audits the integrity of the information contained in the databases and is responsible for ensuring compliance with sound financial management policies and practices (including FASB).
  3. Translates the data into usable, actionable information for the formation and execution of fundraising strategies and measures of success.
  4. Hires, trains, develops, evaluates and manages a team responsible for data entry, reporting, transaction and gift processing.
  5. Develops, implements, evaluates, and modifies, as necessary, business processes.   Anticipates and meets the needs of other units throughout the College.
  6. Ensures that all team members have a solid understanding of fundraising strategies and information systems.
  7. Stays abreast of new and emerging tools, systems and trends. Evaluates how and if these trends and tools may be appropriate for use at RISD and implements if approved.

  1. Completes other assignments at the request of the vice president.
 

SECTION 5: JOB QUALIFICATIONS/SPECIFICATIONS

KNOWLEDGE/SKILLS/EXPERIENCE REQUIRED:

MBA or related Master’s degree or equivalent combination of education and experience.  Eight to ten years related experience in a higher education environment in an advancement/development office with at least three years managing systems, structures and staff.  Proven ability to build communications and foster relations with members of the community representing diverse backgrounds and interest.    Experience in utilizing standard statistical practices and tools such as SAS.  Excellent analytical and quantitative skills, including ability to manipulate, analyze and interpret data and statistical models. Experience with relational databases and major fundraising databases systems, Colleague/Ellucian preferred. Experience in data planning, database analysis and reporting. Knowledge of current trends in fundraising including: benchmarking and metrics. Successful experience in developing, directing and managing multiple projects and implementing strategic program goals.

 

MENTAL DEMANDS:

Must be able to perform detailed work using reasoning and problem solving skills and complete multiple concurrent tasks with constant interruptions.  Need strong oral and written communication skills, organizational skills and interpersonal skills. Ability to work collaboratively with others and in an advisory capacity within IE and with other College units.  Must be able to deal with confidential data work in a high impact and time sensitive environment.  The capacity to keep up with current trends and training in this field. Ability to diagnose complex problems and identify creative solutions.

SUPERVISION AND SCHEDULING DEMANDS:

Receives limited supervision.  Full-time, administrative position. 

 

ENVIRONMENTAL CONDITIONS:

The job involves exposure to the following in various degrees but is not limited to only these environmental conditions: general office setting in an art & design higher educational institution with come exposure to art & design materials, heat/cold, and noise.

 

EQUIPMENT:

Some of the equipment used to perform this job: file cabinets, copier, calculator, facsimile machine, telephone, computer, and printer.
