Job Title Program Assistant - Job # C15009 Job Description Under general supervision from the Director of Donor and Alumni Relations, this position performs work requiring knowledge and experience specific to the Foundation which includes composing written communications, extracting and compiling data from source documents, and establishing and maintaining records relating to foundation operations. Essential Duties Summary Responsibilities include, but are not limited to: • Implementing, maintaining, and overseeing Raisers Edge database to ensure accuracy and completeness of records; • Composing correspondence and printed materials related to foundation policies, procedures, and operations; editing materials for accuracy, appearance, readability, and style; • Compiling and distributing information relative to foundation activities, conferring with other campus departments and outside agencies; serving as a resource person for committees concerned with program operations; interpreting historical activity reports, and other materials in the functional area; • Preparing and assisting with mass mailings (newsletters, invitations, etc.); • Coordinating arrangements for foundation events such as Foundation Donor Recognitions, Kick-off, Scholarship Night, etc. including post-event activities and budget; • Establishing and maintaining records and files, recording statistical information from Raiser Edge; • Reconciling monthly donations with the college’s business office receipts; • Coordinating Scholarship Awards process including High School presentations, notifications to donors, and Scholarship Night (including coordination of presenters, certificates, thank you notes/photos of recipients, program and notecards); • Performing complex word processing tasks such as merging and sorting, integrating text with graphics, spreadsheet and database files, uploading and downloading text, graphics, or pictures, and creating footnotes and outlines; • Managing meetings including agendas, meeting notifications, taking and distributing minutes; • Assisting with Distinguished Alumni nominee process; • Oversight of budgets on a monthly basis; • Overseeing office supplies; • Preparing purchase orders and payment vouchers; • Coordinating travel arrangements including prior approvals, travel expense voucher; • May direct the work of others; • Perform other duties as assigned. Required Qualifications High school graduation or equivalent AND two years of full-time clerical experience OR equivalent education/experience. Preferred Qualifications Preference will be given to those candidates with an Associate degree or comparable work experience; two years’ experience working with data bases, more specifically with Raiser’s Edge; experience in taking minutes with effective written and oral communication skills; experience in organizing events/event planning; knowledgeable in the use of computers and software including Windows, Microsoft Office, and other basic programs; and familiar with non-profit fundraising operations and college programs.
