Name in email message

Options
We are having a problem that seems to me to defy logic.  In the body of an email, we have included a merge field to include the name of the intended recipient. We are using my Raiser's Edge record for our tests - I am the main person on the record and have added my husband as spouse.  On this record are three email addresses.

The first test email we sent, we used "full name" as the merge field. Emails at two of the addresses mentioned me, and the third email address mentioned my husband.

The second test email we sent, we used "primary addressee" as the merge field. Two of the emails mentioned my husband and I together (which is correct - that's how primary addressee reads for us), but the third email mentioned only him.

How are we getting emails merging different information when we are using one email message and one Raiser's Edge record? No changes have been made.  Has anyone else run into this?

Thanks for any insight you may have.....

  • Wow. This is an interesting problem. I'm interested in hearing the resolution.
  • Hi Karla. Would you mind confirming a few things about how you've set up your test?

    1. In the properties of the list in Online Express, have you checked the box that says "Send to individual and organization releationship records" and if so, are all relationship types checked or just some?

    2. What email types are associated with the email addresses on your record?

    3. Are there any email addresses on the spouse record and if so, do any of them match an email address on your record, and if fo, what email type is assigned on each record?

    4. Finally, in OLX under Account > Integration Options > Email Mapping, what email types do you have set there for 1st/2nd/3rd and do you have the box "Send to all mapped types" checked?

One possible way this could occur is if you have configured OLX to look for the email types Home, Work, and Other. Then, if your record in RE has 3 email addresses of types Home, Work, and Spouse (noting that Spouse is not a type that OLX is looking for) and if your Spouse's record has one email of type Home (a type that OLX is looking for), then, if you have the right list settings in OLX, the email will be sent to two of your email addresses plus the one on your spouse's record. If this happens, then it would make sense for OLX to populate merge data from the spouse record when that's the recipient.

    Thanks!

Looks like I put this reply in the wrong spot before, so trying again. Please see my replies below in red text:

    1. In the properties of the list in Online Express, have you checked the box that says "Send to individual and organization releationship records" and if so, are all relationship types checked or just some?  Yes, it is checked, and for all relationship types.

    2. What email types are associated with the email addresses on your record?
Email, Email 2, and Email 3.

    3. Are there any email addresses on the spouse record and if so, do any of them match an email address on your record, and if fo, what email type is assigned on each record? All emails are on my record – the emails all self-populate on my spouse. So, emails are identical. My husband and I share the same RE record with him as my spouse – not two records joined by a relationship.

    4. Finally, in OLX under Account > Integration Options > Email Mapping, what email types do you have set there for 1st/2nd/3rd and do you have the box "Send to all mapped types" checked? 1st email = Email, 2nd email = Email 2, and 3rd email = Email 3. Yes, “send to all” box is checked.

One possible way this could occur is if you have configured OLX to look for the email types Home, Work, and Other. I understand what you’re saying, but the email types and addresses are the same for both myself and my spouse.

    Thanks!  Thank you!!
