Importing Credit Card Donations onto Individuals Records on RE

Options
Currently we use a virtual terminal to process credit cards and our website donations and the following day we get the donors details (why they donated and contact details) is there an easier way to import that straight on to Raisers Edge instead of setting up a new record or finding the individual on RE and adding the details from there

Any help?? Its coming up to our busy time and this way currently takes up way too much time,

Thanks a million

  • I don't believe there is a way to speed up your process.  If your credit card processor has a way of exporting all the data you need into a spreadsheet, you can then import that into RE, but you'd still need to look up each name and add the Constituent ID to the data, or create/import a new constituent record.

If you have enough volume to make this a problem, have you considered moving to one of Blackbaud's credit card processing products?  We have used Online Express (OLX) for about a year now, and it works great.  All donations made online are able to be imported directly into RE, and the product assists with finding matching existing constituent records or creates new ones for you if needed.  The fees are reasonable, too...I think it matches up with our old vendor at $65...so gifts under $65 cost us slightly more with OLX than with the old vendor, and anything over $65 saves us money in fees using OLX.

OLX also replaced our third-party vendor to send out our email messages...meaning no more moving email addresses from RE to another product, and it lets us track what happens with those messages within RE (receive/open/click/bounce/opt-out).
  • Thanks for the tip, We're in Ireland so choices are limited, but I'll investigate... Thanks a million
  • Have you looked into using BBMS and the Net Community add in Blackbaud offers.  This is what we use to take online donations and for event registration.

Although our staff does need to 'eye-ball' each entry, Net Community does search the RE database to find possible matches.  When Net Community finds a match the staff member just needs to see if there are any address/email, etc. changes to be made.  Otherwise they set up a new donor record.

This is better than using a spreadsheet to import data, but still requires human intervention.

  • Have you tried ImportOMatic or Importacular?  We use ImportOMatic to bring in all the data from our online gifts, telemarketing programs and deposits.  It checks for duplicates and you don't need ID numbers.  If you do a lot of importing, or even just a few complex imports, it's a helfpul and timesaving tool.
