Posting Gifts

Options
I was wondering if anyone does not use FE and still posts gifts and if so what are the ramifications of posting when changing gifts in RE?

We do not post gifts as we don't use RE and have been asked to post the entire database.  Trying to get an idea of what, if any, ramifications this would have.

  • I don't post to FE or anything.

I would be concerned about "posting" all of the database.  From what I've seen, even though you may not be linked to GL, posting the  gifts makes it much more difficult to edit them.  May not be relevant to you, but I know that we often have additions/changes to refference, solicitors, and sometimes appeals after a gift is added because of info that comes out later.

You lose ability to make some changes to gifts - which is not always a bad thing as it can prevent things that should not be changed from being changed.  If gifts are posted it will require an adjustment or write off to change date, amount, gift type, fund, etc.  To me you would want to track those changes anyway.  You can still change solicitor details, gift code, gift constituency, soft credits, pay method details...
  • If you go this route, and then need to edit something later and can't, you must Unpost the gift using the UnPost Gifts plug-in.  And all users must be out of your database to use it.  I would prefer that Gifts be able to be Unposted by a User with specific Security Rights.  I think that would make me more inclined to use that field.  But I'm still slowly working through cleanup and that means sometimes changing something on a gift that can't be changed if it's posted.  Once I get through that, I probably will post gifts, at least for each fiscal year once the audit is complete.
  • We do not use FE, but we do "post" gifts through RE. Like others have mentioned, it makes some gift fields harder to edit but not impossible. You can either use the adjustments option within the gift record, or the 'unpost gifts' plug-in and then global changes.

I guess it would depend on what 'posted' would indicate for you. If you're not using the general ledger feature, or using the 'posted' field within any queries to pull for receipt letters, etc. you may want to think about why you would need to 'post' gifts if not using FE.

Even if not using FE or posting to accounting software, I think I would vote for posting the gifts to prevent accidental or purposeful changing of old records.  We started using RE before we started using FE.  All of our gifts were marked as posted prior to those that began to be posted directly to FE.
