Email Mapping - static or dynamic?

Options
When I create new list, let's say I'm sending it to "Alumni" and attach the query and the email mapping is set to

1. E-Mail

2. Email

3. Business Email

and, I've selected "send to first available"

Then, a few hours later, I want to send a message to "All constituents" - let's say it's an invitation.

I change the mapping to:

e-mail

email

spouse email

and, Select "send to all" because I want the spouse to also receive the invite (we don't have separate records for the spouses.

Going forward, if I want to then schedule an email for "Alumni" for Monday morning, do I have to re-set the mapping.

Does the mapping stick with LIST and how it pulls the record, or is it dynamically updating based on that setting?

I ask bc I need to schedule different types of emails while I'm away and I won't be able to adjust the mapping.

Thanks, Amy

    Hi Amy. Good question.

When you schedule an email, the moment you hit the "Schedule message" button to complete the email create process, the list is refreshed and the recipients are assigned to that email job based on the query and email mapping.

If you were to change the mapping before the original scheduled message was sent, it would not impact the list of that original scheduled message.
  • That is great to know. Thanks for the reply.

I was also wondering if every time we use a list that we should re-attach the queries or does it automatically refresh when we need it for the next message and it's attached to the message.

    have a great weekend.

Hey Amy, no need to re-attach queries to lists. Every time you send or schedule an email, lists are automatically refreshed to get the latest email addresses based on your email mappings and RE query.

Hey Amy, no need to re-attach queries to lists. Every time you send or schedule an email, lists are automatically refreshed to get the latest email addresses based on your email mappings and RE query.

Sorry to start an old thread back, but found this in search.

Which one is it? Does the list refresh when you schedule or refresh when you send? Earlier you said it only refreshes on schedule and doesn't update if you change between the scheduling and actual send time.

  • It updates when you click Send or when you click Schedule.  So if you're sending your message immediately, it refreshes everything just before sending.  If you schedule your message to be sent later, it refreshes everything now, and nothing changes before the message is sent.  (We found this out when my coworker in Marketing was finishing an email and I was frantically entering new constituents.  I finished and she sent, and most of what I entered didn't receive the message, as she had finished her part and scheduled the message to go the next day but she did that before I finished entering new records.)
