DONOR SERVICES ASSISTANT
The Marine Mammal Center, an equal opportunity, non-profit employer, has an immediate need for a Donor Services Assistant to join our team. The Marine Mammal Center’s mission is to expand knowledge about marine mammals—their health and that of their ocean environment—and to inspire their global conservation. Our core work is the rescue and rehabilitation of sick and injured marine mammals, supported by state-of-the-art animal care and research facilities, a corps of dedicated volunteers, and an engaged community.
About the Organization
The Marine Mammal Center is the largest facility of its kind in the world. Founded in 1975, The Center has grown into an internationally renowned and state-of-the art marine mammal hospital, research center and educational organization. Each year, The Center treats 600 – 800 sick, injured and orphaned marine mammals, with the goal of rehabilitation and release. Its professional staff collaborates with over 30 different scientific, educational, federal, state and non-profit organizations from around the world.
Marine mammal scientists and veterinarians from across the globe visit The Center and shadow its staff and volunteers to learn from the hundreds of animals treated each year, and from its acclaimed veterinary, scientific, and research staff. By collaborating with leading scientists and researchers to learn from the patients in their care, The Center expands and advances science to increase understanding of the health of the ocean and highlights implications for human health.
In addition to its work with the scientific community, The Center’s formal and informal education programs reach 100,000 children and adults ever year. Ultimately, The Center’s work inspires action and fosters stewardship toward the care of our environment.
Overlooking the ocean in the Marin Headlands, in Sausalito, CA, The Center operates three field stations in its 600-mile rescue range on the California coastline from San Luis Obispo through Mendocino County. Simultaneous to the construction of its new Kona, Hawaii facility, The Center’s rescue range has increased to include the entire Hawaiian archipelago. With an annual operating budget of $6M, 60 staff and 1,100 actively engaged volunteers, The Center operates 24 hours per day, 365 days per year.
About the Opportunity
The Donor Services Assistant is a member of the Development and Marketing Department. This position is entry-level and provides database, administrative, and logistical support to the department. Primary responsibilities include ongoing maintenance of the donor database (Raiser’s Edge) including daily entries, preparing mailings, generating lists and reports and providing support to various departmental activities. This position reports to the Donor Services Manager in the Development Department and works very closely with the Development & Marketing team.
CORE COMPETENCIES
• Exceptional attention to detail and deadlines
• Excellent customer service skills and a willingness to learn
• Accuracy and strong organizational skills are essential
• Knowledge of Blackbaud’s Raiser’s Edge 7 and/or Convio highly desirable
• Previous database experience
• Knowledge of Microsoft Office Suite
• Good communication skills
• Ability to work as part of a team and independently
• Ability to supervise volunteers on administrative tasks
MAJOR RESPONSIBILITIES
• Perform daily gift entry and gift audits. Import and review incoming gifts from external sources for accurate data reporting
• Prepare mailings, acknowledgement letters and other RE based letters
• Manage monthly donor program. Duties include tracking lapsed sustainers, ensuring that donors have current payment information and the production of weekly and monthly letters
• Perform scheduled data entry audits to ensure a high level of accuracy and adherence to quality control guidelines for data entry
• Perform ongoing maintenance of donor records
• Provide database support for the Development department in a timely and professional manner
• Identify and communicate problems encountered by Development staff and make suggestions for possible solutions or improvement
• Maintain organization of materials including policy and procedure documents
• Carry out general office duties, including filing and the management of department volunteers
• Assist with other duties & projects as assigned
• Act as triage for Development office phone line, providing customer service for donor inquiries
QUALIFICATIONS
• Two years of administrative/development experience and a B.A. degree from an accredited college or university, or an equivalent combination of training and experience
• One year experience with The Raiser’s Edge for Windows or a similar donor database
• Organized, detail-oriented and able to work flexibly and independently in a team environment
• Ability to work in a high-pressure environment and balance competing demands and priorities
• Excellent verbal and written communication skills
• Excellent computer skills including Microsoft Word and Microsoft Excel
• Ability to work at computer 90% of the time
• Willingness to work nights and weekends as needed
• Ability to move from place to place, use a computer terminal and telephone; able to lift and carry up to 25 pounds short distances; can bend, twist, reach, and grasp
• Ability to work nights, weekends and early mornings as needed
• Able to work in a fast-paced environment and be flexible under a variety of circumstances; diplomatic and decisive. Ability to balance several priorities
• Car or transportation to/from Marin Headlands required
