Job Description

The Coordinator, Development provides administrative and transactional support for development initiatives of the Cincinnati Parks Foundation. This position processes and acknowledges contributions/pledge receivables, is responsible for managing data integrity in The Raiser’s Edge and provides support for projects and special events.
The Coordinator ensures that data about prospective investors is entered accurately and consistently and reports data to fundraisers in useful, user friendly forms with leadership and support from the Assistant Director, Development and Executive Director.
Core Duties and Responsibilities include:
Contribution Processing & Data Management (50%):
Normal office environment with doing administrative tasks associated with position. Long periods sitting. Use of computer terminal. Occasional standing, bending and stooping. Ability to lift 35 pounds. Monday thru Friday, 8:30 a.m. – 5 p.m. Occasional weekends and evenings as necessary. Local travel by automobile required. In addition, regional, national and international travel may be necessary.

The Coordinator, Development provides administrative and transactional support for development initiatives of the Cincinnati Parks Foundation. This position processes and acknowledges contributions/pledge receivables, is responsible for managing data integrity in The Raiser’s Edge and provides support for projects and special events.
The Coordinator ensures that data about prospective investors is entered accurately and consistently and reports data to fundraisers in useful, user friendly forms with leadership and support from the Assistant Director, Development and Executive Director.
Core Duties and Responsibilities include:
Contribution Processing & Data Management (50%):
- Processes contributions and pledge receivables in The Raiser’s Edge. Tracks and processes donor acknowledgement letters. Manages a system of tracking the date receipted, singed and mailed of all investor gift acknowledgement letters. *
- Tracks and monthly processes investor pledge payment reminders and coordinates efforts to close outstanding pledges. *
- Monitors data in The Raiser’s Edge and ensures integrity and accuracy of data. This includes but is not limited to returned mail updates, change of address and obituaries. *
- Produces standard canned The Raiser’s Edge reports as requested, including standard weekly and monthly financial reports. *
- Manages data entry projects as requested, including but not limited to, external event/sponsorship details and event invitation lists/registration. *
- Manages production, distribution and electric filing of donor correspondences, gift documentation in The Raiser’s Edge. *
- Coordinates and processes investor communications, including but not limited to birthday cards, donor anniversary thank you messages, donor postcards, donor engagement letters and invitations. *
- Assists with research to identify prospective donors. Ensures that data about prospective donors is entered accurately and consistently and reports data to Executive Director and Assistant Director, Development. *
- Provides support for special events as assigned, working closely with Assistant Director, Development; including but not limited to, meeting coordination, planning logistics, day of event activities, social media and marketing. *
- To support prospect research needs such as: establishing an online network that utilizes target market approaches to fund development, identify online grant opportunities and promote events and activities.
- Utilizes strategies such as social media, online campaigns and calls to action, email blasts and linkages with other organizations and partners. *
- Implements content for website, facebook, Twitter, and other social media accounts as assigned, ensuring consistent branding and messaging. Engages in conversations, answering questions, posting comments and pictures on relevant blogs as necessary. *
- Supports Women’s Committee Docent Tours program which includes, but is not limited to scheduling tours.
- Works closely with Executive Director and Assistant Director, Development to support projects as assigned.
- Schedules and manages logistics of Foundation meetings as necessary.
- Manages volunteer staff as needed to complete assigned projects in timely manner. *
- Provides administrative support to the Executive Director and Assistant Director, Development as assigned. Duties to include:answering office phone, emails, and coordinating schedules as needed.
Key Performance Indiciators:
- Contributions/Pledge receivables are processed and all acknowledgement letters are mailed within 48 hours of receipt.
- Pledge reminders are mailed 30 days in advance of scheduled payment date. Past due reminders are mailed monthly until payment received.
- Obituaries are reviewed and constituent records are updated within 48 hours of publication.
- Returned mail updates are processed in The Raiser’s Edge weekly.
- Donor communications, such as birthday cards and anniversary thank you messages, are mailed 48 hours to one week prior to celebrated date.
- All event and project assignments are completedaccording to assigned timeline.
- Bachelor’s degree in Business, non-profit management or similar.
- Two or more years in fundraising or demonstrable equivalent required.
- Proven effective written and verbal communication skills, including the ability to conceive, develop and write compelling proposals that result in action.
- Excellent written, verbal and interpersonal communication skills.
- Ability to relation to diverse age and demographic backgrounds. Demonstrates diplomacy, tact and a professional demeanor.
- Strong organizational, analytical and prioritization skills.
- Ability to take initiatives, work both independently and collaboratively and think creatively to solve problems.
- Must be able to work effectively in a fast-paced, demanding environment while using sound judgment in decision-making and in accomplishing tasks that are urgent or of a sensitive nature, all while meeting competing deadlines.
- Ability to understand and communicate technical, scientific and educational activities as well as develop good working relations with investors, peers and volunteers.
- Ability to institute change and build a program.
- Experience with The Raiser’s Edge database preferred, or other donor relations management software required.
- Computer literate and working knowledge of software applications (word processing, spreadsheet, design and database).
