Stock Gift Acknowledgment Letters

I am in the process of cleaning up out acknowledgment letter process and is wondering if anyone has a nice way to autogenerate stock gift letters. I am looking for a good way to add the company name, amount of shares and the days high and low. The simplest I have come up with is listing the info in the reference feild, but then it needs to be modified to make it look nicer. Another option would be to put it in the Notes on the Sell Stock/Property page. I was also thinking there would be a way to add it as a gift attribute.

  • While as you said, it has to be "prettied up", I use the reference field for the basics: # of shares/company stock/ gifted on date.  We do not put high/low $ amounts in our letters.



    Will be following to see what other suggestions users have.
  • Company name = Issuer field

    Amount of Shares = Number of Units field

    For "gifted on date" we enter that as the Gift Date and use that on the letter.



    We don't include any value information on the letter either.  Just company name, number of shares and transfer date.





     
  • We use the fields "Issuer" "Number of Units" that Josh noted and "Median price per unit". We do have to manually enter the high and low stock values for the day in the acknowledgement letter.
  • We put in the high and low value and put those in as gift notes comments . I have a gift note types of stock value-high and stock value-low. Those fields are available to merge into the acknowledgement letter. Our letter includes those fields as well as gift date (the date the stock was transferred to us), the number of shares and the stock issuer.

  • We use the dedicated fields (as Josh mentioned) for Issuer and Number of Shares (and Symbol, although that doesn't appear in the letter).  Then we have 3 Gift Attributes for: Stock High, Stock Low, Stock Mean.  These fields all merge into our acknowlegement letter.  We use Text fields in the Attributes so that we can state the Mean value to 3 decimal points, as was requested by our CFO.  The label for "Issuer Median Price" is edited in Config to "Use Attributes" as a reminder to add those 3 attributes.
  • Very simple -- "Thank you for your gift of X shares of X stock transferred on DATE valued at $X." We use the dedicated fields since it makes the letter merge easier, but we also summarize in the reference notes. The value amount is the amount verified by my broker of what the value was when it entered our account. My broker also sends us a letter with all the relevant info that we file with the gift. I don't think I could get away with not including the amount. My DD, auditors and donors all want it.
