Menlo School - Development Database Coordinator

Menlo School, an independent school located in Atherton, CA, seeks a full-time Development Database Coordinator to join its Development and Alumni Relations Office.  The Development Database Coordinator is directly responsible for the comprehensive management of the donor database.  This person will also assist with general administrative duties, events and projects as needed.  This position reports directly to the Director of Development and works closely with the Business Office and the Technology Department to ensure accurate and consistent records.  The ideal candidate will have excellent computer skills, extensive database experience, superior analytical skills, strong customer service skills, and be a team player comfortable in a fast-paced environment.

 

Qualifications:
  • Minimum of 5 years of work experience
  • Significant experience in databases; Raiser’s Edge experience preferred
  • Must be highly proficient with all Microsoft Office applications and Google applications
  • Strong attention to detail
  • Superior analytical and organization skills
  • Excellent oral and written communication skills
  • Strong interpersonal skills and ability to work creatively, collegially and collaboratively.  Ability to work effectively with and provide prompt, courteous customer service to all school constituents.
  • Ability to multi-task in a fast-paced, team-oriented environment; ability to plan, prioritize, and follow through on tasks and meet deadlines
  • Must be able to work independently, exercise sound judgment, and handle confidential matters with discretion
  • Familiarity with auctions a plus
  • Bachelor’s Degree or equivalent experience preferred
 

Job Responsibilities:

Database
  • Management of Raiser’s Edge (RE) database which includes:  data input, gift entry, queries, exports, reports and lists.  Ensure integrity and accuracy of database.
  • Process gifts, including stock and wire transfers, gifts-in-kind; confirm matching gift requests
  • Prepare, manage and mail acknowledgement letters and pledge reminders
  • Serve as primary liaison with the Business Office in reconciling funds and ensuring accuracy; work with auditors as needed
  • Serve as the Project Manager for the Annual Report
  • Assist online auction event staff; work with Business office to reconcile Auction Maestro with RE
  • Assist and train Development staff on RE
 

Administrative
  • Generate and maintain office procedures and policies
  • Assist with events, including data entry, nametags, set-up, staffing and other tasks as needed
  • Complete National Association of Independent Schools (NAIS) annual survey
