Electronic Gift Aid Declarations via Online Express

We're in the process of looking at switching to Online Express and wondering about how it records gift aid declarations and how to save the information in a way that will satisy HMRC.


Does any of the other UK members also use Online Express? How does the declaration information come through? Do you consider what comes though sufficient evidence and on what basis if so? Do you send written confirmation to donors as well or do you think whatever RE does is sufficient?

  • That's a very good question. I assumed that it would create a tax declaration on the constituent (in the same way that their NetCommunity product did), but I can find no donor who has such a declaration, apart from ones we've entered by hand previously. I shall do some more research and then submit a support request. If I remember I will update you on the progress. If it's not working then we're missing out on a lot of gift aid!

    I took a note of a couple of gifts that were gift aidable and then looked at the constituent records after they'd been committed to RE. Unfortunately both examples already had gift aid declarations. I'll check again in a week, before I can create a case for Blackbaud.

  • I can confirm that declarations are created on the constituent record when the gift aid box is ticked. So it does what you'd expect!

    No it doesn't. Does the HMRC require paper forms or can they accept electronic information?

  • Thank you for raising this issue, since reviewing this blog we have discussed the issue with a HMRC investigator who has confirmed that Electronic Declarations made via Online Express and NetCommunity both meet the requirements of the HMRC.
