Specific Recognition Name for Organization

For pulling our donor lists for our Annual Report, for individuals I have a specific Additional Addressee/Salutation that I called Donor Recognition, so that all constituents have the same format (ex. John Smith rather than Mr. John Smith). For organizations I just use their name.

I have one organization that does not want to be listed in public as the organization name, they want the contact person to be listed as the donor (example, not ABC Corporation, rather John Doe-who is the head of the organization). How can I set that up so that when I pull the lists the differentiated recognition name for this particular organization is pulled, rather than their organization's name?

    What we do for the recognition name for organizations is to use an alias.  I have alias types "Recog Type - Annual Campaign," Recog Type - Endowment," etc.  We have run into that situation and others where recognition may be their "doing business as" name.  It's not too diificult to do a copy and past of org name into the field (helps prevent typos).



    When I Export/run lists for annual campaign I export my add/sal field for individuals and alias for orgs.  Just have to combine columns to have my list.  Has worked well for us for almost 10 years now.
  • I have yet to find a way to do this in reports, but if you have a query of those people you want to pull for, you should be able to export that additional addressee/salutation field.
  • JoAnn, do you populate every single org record's alias? Or just the org's that have a DBA?



    I do pull a query and export the Additional Addresse/Sal for individuals, it's just the orgs that trip me up.

    We use an attribute for this.  I have a custom report set up with a formula.

    The formula will will check to see if the attribute is blank. If so,  then it will show the organization name, otherwise use the attribute.

    Yes, wouldn't it be nice to have a field on an org record for recognition!  I believe there's a suggestion on the discovery / idea site for it.



    I populate the field for evey org that makes a donation to that fund (annual campaign and their preferred listing, capital campaign and their preferred list for capital, endowment and their preferred list for endowment recognition).  Have found that what they want for different funds is sometimes different so have separate alias for each one. 



    Our pledge/gift forms have a space for recognition listing so I just enter that if they have something otherwise I just put in their business name as on the pledge/gift.  Depending on my workload I may get it entered when I do the gift entry.  But I also have a pop-up task every quarter to check for donors without a recognition listing - individuals and orgs.  That way I'm not blindsided with lots of blanks when I'm asked for the list.
  • I also created a Constituent Attribute that I call Publish As, so that I know exactly how they want things published and I put that information out in a query.  I can be used in both individuals and organizations.  I normally end up exporting al the data to publish so it works for me once I get it in excel I just switch it out.

    Were you able to set this up yourself or did you have help from a consultant or Blackbaud?  I'm quite curious about this as we are looking to improve our process currently.
