Pledge Balance Reporting

My Development department has been asked to create a report at the end of every month of pledge payments/balances for that month. The question is, is the pledge balance based on the date the report is run, or on the report date parameters we stated? I've been looking at Pledge activity reports and the Pledge Balance seems to be based on "as of the day the report is run".

  • I got an answer from Chat Support: The pledge balance would be based on the date the report is run if on the gift types tab the "Calculate gift balance based on date range, campaign, fund and appeal" box is not marked.



    So in conclusion, make sure you check that box if you want your monthly Balance reports to come out right!
  • Even with the check box, I have run into issues with pledge balances on these reports at times.  I've found it helpful to run this report after the previous month is completed, but before any gifts are entered for the next month.
  • I use this report to show all of the pledge payments and installment due dates. I use the a date range to include all pledges and payments and leave the check box unchecked for "Calculate gift balance based on date range, campaign, fund and appeal""Calculate gift balance based on date range, campaign, fund and appeal". The output shows all pledge payments, pledge installments made,and outstanding installments with scheduled dates.

    One thing I found out the hard way, the Campaign, Fund and Appeal (maybe also package) on the payment must exactly match the data on the pledge, otherwise the payment won't be calculated to get the correct outstanding pledge balance.
