I am new to RE (4 weeks), as is our organization.  We have both individuals and organizations as members and they receive a magazine as a member.  Organizations  receive up to five magazines for their membership which we then send to the various addresses the list as recipients.  Individual members can add additional magazines for their friends at a reduced price. (This was all outsourced prior to our having RE)   I am wondering how to send a renewal notice which includes information regarding the additional names/addresses  on a subscription.  I am scheduled for my RE Membership trainings but really need to figure this out sooner rather than later.  I am thinking using the Members & Cards field or Gifts of Members on the membership record should provide me the needed information when I run a renewal  so far my various attempts have resulted in no or partial data on my renewal forms.  I am wondering if it is how I am creating the relationship.   Does anyone have a suggestion?  Thank you

I would create a "gift of memebership" and perhaps even use a memebership level of "subscription" or something like that if this is the only benefit they are getting.  If I recall correctly, you can use some settings to determine if this notice goes to the membership giftee or the giver.

I have set up my memership records and even constituent records in multiple ways with relationships but I can't seem to generate a renewal to the person who made the gift with the giftee's name and address on the record.  The Mail user manual only has 3 pages on renewals.  Is there another resource?

You're on the right track specifying on the Membership record whether to send the renewal notice to the member or the donor.  This lets you select who gets the notice any particular Membership.



In Mail > Renewal Notices > General tab > Notice type = Create a custom data file

Fields to include tab > Membership folder

There you'll find tons information information including both the member and the donor, in addition to the Addressee for the renewal as configured on the Membership record.

It sounds crazy but the only way I have figured out how to have the name and address of the person who received the gift to show up on the renewal is if I write it all in the "special message" box of the gift of membership button.

I actually went through and added all the membership fields to a renewal notice (using the custom fields).  I am wondering if there is something on the backend, maybe in business rules, or in config that is blocking my getting data on the gift recipient.

The person who received the gift should be available as the "Member."  Do you have a full Constituent record for each of the Members?  Is the membership showing up on their Member tab?
