In-Kind Letters "On The Fly" Fr. Gift Record

Hi all, has anyone had issues with their in-kind merges when recording random ginks into the system?  when i hit merge from the gift record it merges perfectly if the donor is an individual.  However, when it's an org. type record the contact addressee and contact salutation do not merge into the template. 



The template is set up to accommodate both general addressee/salutation for individuals as well as the contact addr/sal for an org record.  I have double-checked and rebuilt the template to no avail.  And, yes, the records do have a contact.  I am at a loss and so was Client Support when I called BBaud.

  • Curious as to everyone's policy on this. When a constituent asks to be removed from all email lists, do you mark the email address DNC or delete it? When I came on board I inherited one RE database that was a result of merging two RE databases with no similarities whatsoever. I am now trying to clean up all aspects and develop best practices.  Appreciate any and all input!

    I would DNC it or give it a different phone type of something to indicate no emails by request.  Do you use solicit codes for no email? While it's a bit more work than deleting the reason I would do that is for info.  If somehow the email address comes into RE tomorrow, it could easily be added to constituent record again and emails sent.  By keeping it in some way or putting a solicit code of 'no email', record would have the email for comparison and not be updated in error.

  • We keep the email address on the record and track the DNC request in 4 places (hoping to get this down to one in the near future): 
    1. Do Not Emaill Solicit Code
    2. Requests No Email checkbox on Bio1
    3. DNC flag on email flag on the email "phone number"
    4. A notepad entry on when/how/why it was flagged.
    Unfortunately we also have a separate database of addresses in Constant Contact that don't (currently) sync with RE and is maintained by our Marketing department.  Getting RE and CC synced is a project we hope to tackle this year.

    We usually delete them if there is no giving records. If they have donated to us before- we inactivate the donor and mark DNC.

    I remeber looking at it briefly some time ago.  Thanks for the reminder.  I'll take another look.  We're also looking at a product called DoubleKnot that interfaces with RE and our Galaxy ticketing system that may take over some of the Constant Contact functionality.
  • We keep the email on the record and change its
    type to “Email – Former”.  We also created an Email Opt-Out
    attribute that we include what type of email they opted out of
    (e.g. Event, Newsletter, etc.) and indicate in the comments field
    the exact description of the event.  If they want no future
    emails at all we also check the Requests No Email box; however, if
    they want some communication (e.g. Events, but not Newsletters) we
    use the attribute as an exclusion criteria for every email we
    send.

    We never delete an email address (unless it's a complete, verified error); as soon as you do, someone will re-add the same address not knowing it was deleted/DNC. We do as others have suggested; mark it DNC, add appropriate Opt Out attribute/Solicit Code, change the email type, etc.
