Typical Schedule: This is a full time position.



Purpose: This position is directly responsible for the overall management and daily operation of the College Relations database, Blackbaud’s Raiser’s Edge, which tracks alumni, alumni engagement through activities and events, award recipients, donors and giving history, prospects, students and current parents, faculty and staff, corporations and foundations, and events. This position provides administrative and database management support in the areas of constituency management, gift reporting, prospect identification, cultivation, solicitation, donor recognition, and tracking. In addition, s/he ensures that donor intentions are honored, gifts are processed and acknowledged in an accurate and timely manner, accurate financial reportsare generated, gift policies conform to all regulatory policies and prospect research is performed in a succinct and appropriate manner.



Essential Duties and Responsibilities:
  • Embrace and advance the Catholic, Holy Cross mission of the college by insuring that all professional activities are consistent with the mission and are implemented so as to achieve its goals.
  • Function as primary administrator of the Raiser’s Edge database and NetCommunity site.
  • Manages donor database for most effective and efficient use and develop consistent procedures for data input.
  • Update constituent information including: biographical, affinity, gift, and relational information by working with other departments to obtain the necessary updates.
  • Provide analytical and strategic insight.
  • Advise on database best practices in Raiser’s Edge and update documentation of best practices,policies, and procedures. Train staff in database procedures.
  • Develop and generate simple and complex queries, exports, reports, metrics tracking, and other ad hoc requests as needed for fund development, alumni engagement, career development, and other department requests as required.
  • Enter all gifts into the database and prepare donor acknowledgement letters.
  • Assist with the development and tracking of constituent engagement statistics and reporting.
  • Prepare mailing lists, including solicitations, event invitations, and email lists.
  •  Assist with event rsvp’s and attendance tracking including the preparation of the Raiser’s Edge Events module and NetCommunity registration pages.
  • Perform advanced data functions including merging records, clean up, global changes, and special import projects and reporting.
  • Execute the import and export of database between Raiser’s Edge and other College database programs.
  • Maintain current and implement and maintain new database modules and technology.
  • In coordination with IT, oversee updates and upgrades to the Raiser’s Edge database and NetCommunity as required.
  • Maintain integrity of data health and perform advanced maintenance, organization and cleanup of database records, and other analytic functions as needed.
  • Conduct data enrichment activities such as NCOA and other related data services.
  • Liaise with the Business Office regarding gift revenue and related items, including scholarships.
  • Authorizes non-monetary transfer of funds across College accounts and informs appropriate administrators, faculty, and staff of asset transfers in regards to restricted gifts for their department.
  • Compiles data and information to provide statistical models, forecasts metrics, and analyses to enable the development team to make informed decision and manage donors and prospects from an individual or segment perspective. 
  • Provides prospect information as requested to support all development efforts. Researches potential donors and prepares prospect profile reports.
  • Tracks all outstanding pledges and monitors pledge payment activity and reminders and reports activity to the Development staff.
  • Works closely with the Registrar to ensure that all student-family contact information is accurate and up-to-date on new and existing families enrolled in the College.
  • Serves as liaison between various College departments in order to ensure uniformity and consistency of data across the departments.
  • Assists the College Relations Office with other initiatives to advance the efforts of the college.

Knowledge, Skills and Abilities:
  • Bachelor’s degree required
  • 5 plus years’ experience managing development and/or alumni databases; certified in Raiser’s Edge and/or proven track record and demonstrated expert level of proficiency in Raiser’s Edge preferred
  • Strong knowledge of database best practices and procedures
  • Fluency in Blackbaud’s suite of products including NetCommunity and the Raiser’s Edge Events module
  • Fluency in internet and social media research
  • Experience supporting comprehensive fundraising functions: major gifts, annual giving, special events, online giving, and stewardship
  • Familiarity with alumni engagement tracking metrics
  • Self-motivated, flexible, dependable person who is task oriented
  • A high level of organizational skills, attention to detail and ability to meet deadlines with accuracy are essential
  • Must have strong interpersonal communications skills, judgment, and discretion with confidential information
  • Technically minded person who has an in-depth knowledge of Windows and Microsoft operations, specifically in Word, Excel, and Access
  • Excellent verbal and written communication skills
  • Must be able to fulfill responsibilities with high standards in customer service and support of the College’s mission
  • Ability to work nights and/or weekends when necessary to serve the needs of the college.
Physical Demands:
  • Repetitive movement of hands and fingers – typing and/or writing; occasional standing, walking,stooping, kneeling or crouching; reach with hands and arms; talk and hear.
