Madison Public Library Foundation in Madison, WI seeks a detail-oriented Office Manager for an exciting and busy nonprofit environment. Responsibilities include managing Raiser’s Edge donor database, preparing gift acknowledgements for 2,500+ donors annually, regular bookkeeping with QuickBooks and other administrative duties. Raiser’s Edge experience is required. Salary is commensurate with experience in the range of $17-21/hour. JOB DESCRIPTION

Office Manager is a 40-hour, benefits-eligible position reporting to the Executive Director and is responsible for providing support to the foundation staff and board.



Duties and Responsibilities:

Database management
  • Implement database protocol and procedures
  • Prepare queries and provide appropriate analytical reports
  • Produce mailing lists and labels; coordinate mailings with vendors
  • Enter data into Raiser’s Edge and other data management systems as needed
  • Receipt all gifts and pledges, maintain gift documentation, and track donor recognition
Development
  • Implement policy that thanks donors within 48 hours from gift receipt
  • Write and prepare timely, personal thank you letters
  • Prepare board volunteers for thank you notes and calls
  • Provide prospect research, gift histories on donors and prospective donors
  • Oversee moves management reports for staff and volunteer solicitors
  • Assist with delivery of benefits for sponsors and donors
  • Provide support for fundraising, recognition and cultivation events
Financial management
  • Enter expenses and revenue in Quick Books
  • Process deposits by taking to the bank or submitting electronically
  • Manage vendor accounts and contracts
  • Process invoices and prepare payments or checks for signature
  • Process and reconcile online gifts and credit card payments using merchant software
  • Prepare monthly reports for finance consultant
  • Prepare reports/information for annual audit
Office administration
  • Coordinate benefit enrollment and management
  • Order office supplies and equipment
  • Coordinate mailings with volunteers, library staff, print shop, and postal service
  • Providing reception service
  • Manage filing systems and other record keeping
  • Maintain relationships and services with Friends groups
Other duties may be assigned.
