JOB TITLE: Gift Processor



JOB SUMMARY: The Gift Processor coordinates gift process services for the CHM Institutional Advancement (IA) Department including inputting all gift data and managing Raiser’s Edge (RE) database content. The Gift Processor is responsible for making the CHM RE database system into a model of accuracy and consistency that is in keeping with the Membership and Fundraising written procedures. Effective coordination of CHM RE database system includes accurate, timely recording of all gifts; clear, effective reporting; analysis of giving patterns; and regular communication with relevant CHM staff.



ESSENTIAL FUNCTIONS: · Coordinate with the Accounting Department to open gifts (donor mail), process charges, tally amounts, photocopy and scan documentation of donations, enter donations into RE database, and print batch balancing reports · Coordinate with IA staff for approval and posting of gifts · Conduct timely monthly reconciliation process in conjunction with the Accounting Department · Initiate regular communication with IA staff regarding large gifts, non-cash gifts or pledges, and appropriate account coding · Maintain gift records in appropriate formats for the Museum’s annual audit, annual report, and other presentations · Responsible for data accuracy in RE for own entries · Responsible for timely fulfillment of new and renewing membership cards/packages, member renewal notices, and acquisition mailings. · Work with IA Development Assistant to assist in timely gift acknowledgement, donor benefits, and membership fulfillment · Oversee maintenance of RE database information including record creation, cleaning, and coding; donor notes, etc. · Create and run RE reports to help IA Department document current donors, analyze giving trends, create appropriate list pulls for solicitations and CHM Annual Report , and conduct donor research · Contact donors and members on record entry issues (e.g. credit card issues, etc.) · Act as a resource for IA team members to help department deliver quality service to all donors, members, and other CHM departments · Undertake Prospect Research for CHM Campaign · Work closely with Data Services Manager and entire IA team to help coordinate campaign prospecting and reporting, donor events, and other campaign responsibilities as required QUALIFICATIONS: · High School Diploma or GED required, some college preferred · Minimum 2-3 years experience utilizing Raiser’s Edge on a daily basis · Prior experience with processing negotiable funds · Prior Experience maintaining accurate records · Ability to work independently · Ability to complete projects in a timely fashion · Ability to problem solve creatively and effectively · Excellent written and verbal communication skills · Commitment to the mission, values, and programs of the Chicago History Museum
