Job Summary:

The Database Manager is responsible for developing and maintaining the department's data and financial management systems so they contain all available information important to effective financial, donor/volunteer relations, and fundraising efforts.  Responsible for prospect research and management, preparation of reports and lists, operational support of the annual fund campaign including direct mail and other department/MetroHealth Foundation financial and operational functions.  Upholds the mission, vision, values, and customer service standards of The MetroHealth System.

 

Responsibilities:                                                                                                                                                                                                         

1.     Contributes to patient safety by supporting the System-wide programs and policies addressing a safe environment for patients and the reporting of safety concerns to the appropriate individuals.

 

2.     Ensures departmental compliance with applicable TJC, hospital, and departmental standards and requirements.

 

3.     Maintains integrity of donor and financial databases. Works in collaboration with Executive Director, Operations Coordinator and Philanthropy staff to ensure all prospect management activities are accurately recorded in database and that data reflects current state of MetroHealth's donor/prospect pipeline.

 

4.     Oversees donor and prospect research including weekly wealth screening. Manages data for grateful patient mailings.  Uses a variety of prospect research techniques including electronic resource screening to identify new prospects. 

 

5.     Prepares queries and reports to support fundraising, volunteer and financial activities. 

 

6.     Responsible for the preparation of all mailing lists, prospect lists and donor recognition lists.

 

7.     Creates standard and custom reports as needed for fundraising, operational, campaign and Foundation management. 

 

8.     In collaboration with the Director of Philanthropy and Development Communications Manager, provides operational and analytical support for the annual fund program, including traditional direct mail and online giving.

 

9.     Develops, implements, and maintains, necessary information system tables, templates, attributes and coding systems for ongoing tracking and analysis of donors, prospects, volunteers, campaigns, as well as automated activities for acknowledgement, receipting and recognition purposes.

 

10.  Performs data imports and exports, merges and purges duplicate record information and assigns and maintains global recognition levels.

 

11.  Prepares annual budget for assigned areas of responsibility. 

 

12.  Collaborates with Finance Manager to build and maintain an accurate fundraising information system that tracks activity and is useful in cultivating and stewarding donors and grantors.

 

13.  Creates updates and manages documentation for all Foundation funds to ensure spending compliance according to donor intent. 

 

14.  Coordinates pledge reminder and billing system for all gifts and grants. 

 

15.  Collaborates with Director of Operations and Information Services to implement software upgrades.

 

16.  Creates coding structure for capital campaign and regularly updates to meet ongoing needs of the department. 

 

17.  Manages the online giving component of MHF website, including the creation of new web pages and deployment of emails, to support direct mail, events and conference registrations.

 

18.  Provides support to The MetroHealth Foundation Board of Directors and Committees and assists in Board and Committee meeting preparation and follow-up as needed. 

 

19.  Demonstrates proficiency in Raiser's Edge, Financial Edge, and Blackbaud NetCommunity for areas of responsibility.   

 

20.  Establishes and documents standards of entry for departmental databases and proactively cleans and updates data on a regular basis.

 

21.  Anticipates issues, based on experience and information and works proactively to remedy quickly.  Escalates issues requiring assistance. 

 

22.  Serves as departmental training liaison and prepares curriculum for new and current staff for departmental software programs.

 

23.  Manages Development Operations Coordinator.

 

24.  Demonstrates timely response to departmental inquiries with high quality of feedback. 

 

25.  Responds to inquiries, troubleshoots and solves problems as necessary.

 

26.  Collaborates with all department employees and other MetroHealth professionals who are responsible for supporting fundraising and MetroHealth Foundation activities.

 

27.  Composes written correspondence related to responsibilities.

 

28.  Uses utmost discretion in handling confidential prospect and donor information.

 

29.  Performs other functionally related duties as assigned.

 

Qualifications:

 

Required:

Bachelor's Degree in related field and five years of experience in a nonprofit, healthcare or financial work environment.

Proficient in the use of Microsoft Word, Excel, Access, PowerPoint.

Advanced Raiser's Edge or comparable database management experience.

Proficient with Crystal Reports or similar report writing package.

Demonstrated experience managing and motivating employees.

Excellent interpersonal, written, and verbal communication skills.

Previous experience working with highly sensitive and confidential materials.

Previous experience working in a team environment.

Previous experience working in a fast paced work environment that requires the completion of multiple tasks simultaneously.

Must be self-directed, self-motivated and detail oriented.

Ability to complete detailed work accurately and on schedule.

Ability to think critically and problem solve.

 

Preferred

Advanced proficiency with Crystal XI.

Accounting or financial experience or knowledge.
