Report Questions

Options
Hi everyone. My supervisor asked me to pull two separate reports, but I am having some difficulties finding the best way to pull this information. I'm hoping someone could give me some pointers! For the first report, she is looking for donors of $100 or more who have given for the past four years. I did find the "Consecutive Years Report," but am having trouble narrowing the report down to 2010-2014. Do I need to pull in a query of some sort to narrow down the year/gift amount? For the second report, she is looking for donors who gave $100 or more last year, but have not given yet in 2014. I was taking a look at the "LYBUNT Report," but am having similar issues as the report above with narrowing the information down. I'm still somewhat of a newbie with reports, so if you have any tips, it would be most welcome! Thanks!

    Hello Emily.

A couple thoughts on the Consecutive Years Report: It unfortunately doesn't allow you to specify "consecutive years between X and X". Does your organization specify a campaigns, funds, or appeals by year? If you do, you could filter the report (Tab 2) to include only the campaigns/funds/appeals for 2010-2014. Then sort the report by number of consecutive years to easily pull the 4 year constituents.

If you don't have campaign, fund, or appeals to filter by, I would pull this information through a query. To do this, create a constituent query and in the criteria enter "Summary Information--Total Giving" four times, once for each year. Be sure to specify in the summary and in the Query settings how to handle matching gifts and soft credits.

As for the other report, you could do this one of two ways: 1) create a constituent query of constituents who gave 100+ last year (Gift Summary info), attach that to the LYBUNT report, and run the report. 2) create a constituent query of constituents who gave 100+ last year AND who have given 0 this year (2 Gift Summaries, one for last year, one for this year). With both of these, pay attention to the settings for SC and MG.

Loving the generosity of shared information and expertise!  I needed this today too.

     Thanks, KATE

Thank you so much for your reply! I am so appreciative that you took the time to share this info. This makes much more sense to me and I will try out what you suggested above. THANK YOU!

As you said you're somewhat of a newbie to reports will add one more piece to Helen's response which is basically the same as I was going to respond.  Should get you just what you need.

When you do the summary be sure to set and filters you need.  As we have a number of funds and donors who gift to multiple, when I'm running these type of reports it's easy to overlook filtering by fund (annual vs. endowment vs. capital) and or gift type (sometimes we want cash & pledges, other times cash & cash-pay) etc.

Thank you for the tip! I didn't consider pledges being included in my report, and appreciate the heads up. Thanks again!

Just an additional note on consecutive years report.  As posted, you can't specificy years XX-XY, but if you want the last for year from this year or from last year the report seems to work fine.  If criteria on on tab 7 Format > Detail is set to "4" , It will give you those who gave 4 conscecutive years or more with their last year being either this year or last year depending on what you picked on tab 1.
