The Member Services Manager (MSM) is responsible for ensuring that the flow of all membership payments, donations, and subscription payments are processed in a timely basis. Primary responsibilities include managing two staff members, entering donations, maintaining the integrity of Appalachian Mountain Club's (AMC) member and donor files, processing and reconciling batch reports, handling adjustments, and providing member services as needed. The MSM maintains matching funds from corporations and foundations. The MSM is also responsible for key components of monthly Membership reporting.

Duties and Responsibilities

  • Manage Resources Associate and Member Services Representative. Ensure quality and accuracy of member and donor data. Ensure that members/prospective members are able to get the help they need when they contact AMC for member-related services or issues.
  • Coordinate, process and reconcile all donation cash receipts and pledges, including but not limited to annual fund, monthly giving, memorial and honorary, and restricted contributions, matching gifts and grants.
  • Maintain subscription claims from libraries.
  • Generate files for monthly magazine, bi-annual Journal, and weekly member cards.
  • Interact with accounting on reconciliation issues and general ledger protocol.
  • Maintain and update the membership and development database procedure manual.
  • Responsible for correspondence for matching gifts and member and donor transactions as needed.
  • Cover Resource Associate and Member Services Representative responsibilities during vacation, absences, and heavy campaign periods.
  • Manage close of month for data entry and monthly reporting. Maintain and update Membership's Monthly and Year End Reporting Packages through BB Business Intelligence. Review for accuracy and highlight/note inconsistencies. Create and update acquisition and annual fund campaign reports weekly while the campaign is active, then monthly.

 

Employment Standards

  • 5 years data entry experience and at least 2 years supervising data entry or customer services.
