Importing Frequent Payments from Excel to Batch

Options

Hi-

We get payroll donations from staff, and I currently get a spreadsheet from HR which I print out and compare to a recurring batch already set up.  Is it possible to import the payroll donation list from Excel to the batch so that I don't have to go through and manually change the date and delete/add rows each time?

    Nikki,

I know of no way to import into batch.  If the list is really big, I'd consider a gift import right into RE.

But, couple of things... you shouldn't have to change the date for a recurring batch.  When you click to commit the batch, go to tab 3, recurring - change the gift date/post date there.  When you commit the batch that date is applied to all gifts.

I run payroll like you, get spreadsheet from HR and for convenience print it out.  I've done the batches in RE two ways.

In the past had a recurring batch that I would add and subtract records from based on HR list.  Sounds like what you're doing. It worked fine but at times a bit labor intensive.

This year I create a new batch for each payroll and in batch use Tools > Automatically generate transactions/payments.  The records to include is based on a query of all staff with payroll deductions.  For payments due by I just plug in the date of payroll which corresponds to the pay schedule on their pledges and a list is auto generated.  Tab 2 enter gift date and post date just like in a recurring batch.  I do still have to go through and delete anyone who not getting check/deduction but I don't have to add anyone back in that was deleted the previous payroll.  Another benefit is that I can look at batch of payroll if needed where with recurring batch there was no batch that could be viewed.  Of the two ways, I'm liking it a little better.
