Assigned Solicitor on Relationships tab vs. Proposal

What information do you completed on the assigned solicitor tab when making assignments?  Also, at what time do you create a proposal for the constituent?  I am contemplating putting in a proposed ask amount in the goal based on target gift ranges and research one the assigned solicitor relationship, but the reporting capabilities are not really there unless I create a custom report.  Thanks!

    I enter pretty much every thing: name, type, date from, date to, campaign, fund, and if appropriate appeal.  So far we have not entered amount here.  Could be coming with next campaign.  Last capital campaign, amounts were a range and not set at same time as assigned and it was just too much extra work to plug it in separately for what we needed.  Couldn't get what we wanted in format we wanted.

    We do not have the prospect module so no suggestions there.

    We enter solicitor, solicitor type, date from, and then date to when they are no longer their solicitor.

    Proposals are created when an ask is likely (usually after determining interest and capacity), although I think we will be globally adding proposals for next FY and then reviewing and confirming them, or deleting them as necessary.  We do not enter an amount on the assigned solicitor relationship.  We had looked into using that for goal setting but we would need to add a new solicitor relationship every year to indicate current year goals.

    We also have a custom report that tracks the proposals by month and shows ask, expected and funded amounts.  This way we can track pending asks and expected income.  Works great and helps development officers know where they are in relation to their goals.

    On the Assigned Solicitor Relationship usually we only store who the person is, what type of Assigned Solicitor they are (i.e. Primary Manager, Associate Manager, Former Primary Manager, etc.)



    We also ensure that there are no overlapping dates for the Primary Manager/Former Primary Manager positions to ease reporting issues.



    On the proposals we use nearly every field. But the most important ones are the Ask/Expected/Funded Fields for both amounts and dates.



    The "Ask" fields is what the solicitor rates the prospect as being able to give.



    The "Expected" fields are used for them to use after they have met with the prospect and have had a chance to determine what the prospect is interested in giving to and how much (this lets us see how effective the Development Officers are at rating potential prospects and who could use some follow-up training).


    The "Funded" fields usually hold the amount that the Gift Agreement was for.



    We usually use the purpose field to identify which college/school/unit is receiving the money but if it goes to many places (which is the standard thing) it is set to Multi-Purpose and we use attributes to parse out where the money goes.



    With all this we are able to pull all the pieces from the back-end tables and build our custom SSRS web reports to assign attribution, build our proposal pipeline and see where all the money is going.
