JOB DESCRIPTION

 

JOB TITLE:  Database Systems and Records Coordinator

DEPARTMENT: Development  

REPORTS TO:  Assistant Director of Development Services

STATUS:   Exempt 

 

GENERAL SUMMARY

Provide information, support and services to advance the fundraising mission of Lincoln Park Zoo. Primary responsibilities include report writing, gift processing and acknowledgment, providing end user training and support, data entry, and ensuring data accuracy and integrity of Raiser's Edge, the zoo's fundraising database. Successful candidates will possess scrupulous attention to detail, strong organizational skills, a commitment to customer service, and the ability to appropriately handle confidential donor information.

 

ESSENTIAL JOB FUNCTIONS

  • Assist in the accurate recording of contributions, pledges, memberships, and other revenue from website, phone, mail orders and on-grounds sales.
  • Produce or support verified weekly, monthly, and year-end Membership and Development reports.
  • Import and export data as needed for mailing lists, data segmentation, appeal assessments, benchmarking, rating systems, analytical reports, etc.
  • Respond to data retrieval requests as directed by the Assistant Director of Development Services, creating reports from Raiser's Edge using RE query and export modules, Crystal Reports, Access, Excel, and/or SQL.
  • Conduct training on the use of Raiser's Edge and assist staff in constructing queries and developing report requests.
  • Audit and confirm accuracy of gift entry, tracking reports, mailing lists, annual report lists, and other data requests.
  • Work with Development staff to ensure acknowledgment letters in RE: Mail are updated quarterly.
  • Reconcile gift data with Accounting at month- and year-end.
  • Perform regular Raiser's Edge maintenance, copy backups and assist end users with installation, upgrades, and patches.
  • Assist with the automation of manual business practices.
  • Perform various tasks and other duties as assigned.

 

KNOWLEDGE, SKILLS & ABILITIES

  • Strong interpersonal, communication and training skills are essential.
  • Ability to work collaboratively with end users to understand their needs and translate their requests into effective queries and reports.  
  • Understanding of principles and strategies in philanthropy is helpful.
  • Demonstrated flexibility in the face of shifting priorities and the ability to perform in a fast-paced environment are essential.

 

EDUCATION REQUIREMENTS

Bachelor's degree preferred.

 

PHYSICAL REQUIREMENTS

Ability to work at a computer for extended periods of time is essential.

 

ADDITIONAL REQUIREMENTS

Available to work special events which may occur outside of regular work schedule as assigned.
