JOB TITLE:  Assistant Director of Development Services

DEPARTMENT: Development  

REPORTS TO:  Director of Strategic Partnerships

STATUS: Exempt 

 

GENERAL SUMMARY

Serve as the primary administrator of the zoo's fundraising database, ensuring data accuracy and integrity. Oversee gift processing and manage related staff members. Extract and manipulate data for complex reporting and support end users. Automate existing manual reporting processes, and provide fast turnaround of ad-hoc reports to advance the fundraising mission of Lincoln Park Zoo. Successful candidates should possess a calm, approachable demeanor and be detail-oriented self-starters with an exceptional ability to manage and prioritize multiple projects to deadline.  

 KNOWLEDGE, SKILLS AND ABILITIES

 

  • Experience developing and supporting reporting solutions using VBA, SQL, Access, Excel, Crystal Reports
  • Comprehensive working knowledge of Raiser's Edge, SQL Server, or other relational database systems
  • Proficiency writing queries, forms and reports
  • Ability to translate end users' needs into effective reporting solutions
  • Ability to train, motivate and manage staff in a high volume data entry environment
  • Proven ability to analyze data and identify recurring patterns and report discrepancies
  • Familiarity with not-for-profit fundraising a plus
  • Utmost discretion in handling confidential data

 

 ESSENTIAL JOB FUNCTIONS

 

  • Supervise data entry, gift coding audits, monthly reconciliation, and other tasks and projects, ensuring that donor intentions are honored, and gifts are processed and acknowledged quickly and correctly
  • Respond to data retrieval requests, generating accurate reports in a timely manner
  • Design, enhance, and maintain reports for Development Department using VBA, Access, Excel, Crystal Reports, and/or SQL
  • Troubleshoot data issues and proactively identify process issues and suggest solutions
  • Maintain integrity and security of the fundraising database and donor information
  • Serve as the liaison to the Accounting department regarding gift coding and reconciliation
  • Serve as the liaison with the IT department for database issues including installation, upgrades and patches, special projects or performance issues.
  • Train Raiser's Edge end users and assist staff with constructing queries, exports and reports
  • Develop and maintain policies, procedures, training manuals, and documentation related to use of the database and reports

 ADDITIONAL RESPONSIBILITIES

 

  • Maintain knowledge of emerging fundraising technologies and serve as liaison with the Information Technology department
  • Remain familiar with key software packages and interact with vendors to provide support for Development, Membership and Accounting users
  • Develop and maintain a comprehensive understanding of gift processing and acknowledgment operations in order to provide assistance and backup as needed

 

EDUCATION REQUIREMENTS

Bachelor's degree preferred.

 

EXPERIENCE REQUIREMENTS

Prefer five years' experience in database management, preferably using Raiser's Edge. Previous supervisory experience a plus.

 

PHYSICAL REQUIREMENTS

Ability to work at a computer for extended periods of time is essential.

 

ADDITIONAL REQUIREMENTS

Available to work special events which may occur outside of regular work schedule as assigned.
