Development Specialist, Data Management (Los Angeles)

Venice Family Clinic provides quality primary health care to people in need. We serve more than 24,000 low-income, homeless and uninsured people across the Westside of Los Angeles. The Development Specialist will join our development team which raises over $7 million annually for Venice Family Clinic.

 

SUMMARY

Under the supervision of the Director of Major Gifts & Corporate Philanthropy, and in conformity with Development policies and procedures, the Development Specialist, Data Management will be responsible for day-to-day operations and deliverables associated with Venice Family Clinic's donations processing, including primary oversight and utilization of a Raiser's Edge data management system, along with support of general development administration and other activities as needed.

 

RESPONSIBILITIES

 

A.  Raiser's Edge Database Management (70%)

 

Oversee full utilization of Raiser's Edge system:

a.       Ensure accurate entry of all contributions, pledges, and in-kind donations.

                               i.            Solely responsible for entry of all incoming contributions.

                              ii.            Ensure consistent and accurate coding of donations, regular imports and gift batching.

                            iii.            Make case-by case updates and identify global changes to maintain accuracy, cleanliness and consistency in fundraising database.

                            iv.            Process and disseminate online donations.

                              v.            Distribute information to development and finance team as appropriate.

b.      Work with staff to ensure timely and accurate donation acknowledgment.

c.       Frequently produce customized queries, data pulls, mailing lists and Crystal Reports for communications and weekly reports for development analytics.

d.      Develop and implement standardized procedures and forms for development department utilization of database.

e.       Support development staff in active utilization of Action System.

f.        Conduct Raiser's Edge training for current and new staff; communicate best practices to ensure successful maintenance of data.

g.       Work with Development staff and Raiser's Edge support to enhance efficacy of database systems and utilization.

 

B.  Fundraising Administration (20%)

 

Support agency reporting and reconciliation systems:

a.       Prepare reports for development and communications staff, fundraising committees, and Board of Directors.

b.      Monitor, communicate with and support development team solicitor assignments regarding major gifts, capital campaign, and endowment giving.

c.       Ensure accuracy of Development and Finance tracking systems.

                             i.            Coordinate monthly reconciliation with Finance team utilizing Raiser's Edge and Financial Edge databases.

                            ii.            Reconcile credit card merchant accounts with Development and Finance.

                          iii.            Assist Finance Department data needs in conjunction with annual audit.

d.      Provide prospect research support to development team as assigned.

 

C.  Additional Responsibilities (10%)

 

1.      Supervise volunteers to support data management, special event, individual philanthropy and general development efforts.

2.      Provide administrative support for development activities including events, board meetings or other activities.

3.      Supervise and coordinate registration activities for fundraising events.

4.      Other duties as assigned.

 

 

Skills, Knowledge and Abilities

 

  1. Significant experience utilizing and managing Raiser's Edge database.

 

  1. Strong computer skills in typing, data entry and Microsoft Office, including advanced skills in Microsoft Excel.

 

  1. Excellent analytical and problem-solving abilities.

 

  1. Ability to complete detailed assignments in a timely and thorough manner.

 

  1. Ability to organize and prioritize multiple tasks and assignments.

 

  1. Ability to establish and maintain tracking systems, and develop and implement departmental procedures.

 

  1. Ability to successfully manage and motivate volunteers.

 

  1. Working knowledge of Financial Edge for accounting reconciliation.

 

  1. Familiarity with and interest in fundraising, resource development and community engagement.

 

  1. Absolute discretion with regard to confidential donor information.

 

  1. Ability to work evenings and weekends.

 

  1. California driver's license, car, and proof of auto insurance

 

Salary is dependent on experience. Venice Family Clinic staff are employees of the University of California Los Angeles (UCLA) with associated benefits.
