Status of Receipted-Pledges (Mail feature)

Hello. Here is my dilemma: Unfortunately you cannot pull pledges through the receipting tab under the mail feature. You can only acknowledge them. Is there a way around this so that the pledges are marked as receipted?

    One option to consider might be when you enter gifts, either in batch or on record, to include the field for receipt and mark it 'receipted' during the data entry process for your pledges.  They'd be marked as receipted.  You'd just do acknowledgement after that.

    Deal with others not getting the difference when development director forgets and says pledge wasn't receipted.  Have to say look to see that it was acknowledged.  Have considered marking pledges as receipted but to this point decided against as for us it's not an accurate description.  Our pledges are either acknowledged or invoiced etc and want that recorded elsewhere. For us pledges are acknowledged, gifts are receipted as that's what works easiest in RE.

     You are absolutely correct. It would make sense to tag the pledges as acknowledged. However, in our particular situation, it makes more sense to tag as receipted even though it's a rarity. I could advise the gifts manager to tag as he enters the pledges but I wondered if there was a way to tag them through RE in a batch. It does not look as if I can. Perhaps an import?

    Are you wanting to change receipt status of pledges already committed or pledges you are entering? 

    Yes, for new pledges, you can do it in batch. You need to include the field "receipt" (and I'd include receipt date too) in the fields for your batch.  It may default to 'not receipted' but you can change the batch default to 'receipted' or change it batch line by line if you are entering a mix of gifts and pledges and don't want them all marked as receipted.

    If you are needing to change pledges already committed, create a query of those gifts and go to global change and do it using this process. 

    You don't need to mess with something like import. Even doing a global change batch by batch would be easier than exporting gift IDs and importing back in just to change receipt field

    I have to agree with JoAnn, it's easiest to globally change a query or list of pledges. I still can't for the life of me envision a scenario where you would actually provide an IRS receipt for a pledge, an acknowledgement yes, but receipting for unrealized gifts seems to me to be dangerous territory.
