Opt Out - Healthcare foundation - Solicit Codes

Options
Hello all, I'm fairly new to both RE and Healthcare fundraising having worked most recently in Higher Ed so there may be a fairly straightforward and simple answer to the below. How does your shop code opt out requests in RE? Currently we mark the solciit code field with a variety of descriptions (Do not call, do not mail. etc.) with no note indicating date of request. Moving forward I was thinking we may want to enter in a note in the NOTES tab indicating date of opt out request so we have some way to track when this request was made. Any advice and input as to how others are doing this would be greatly appreciated. Best, Mor Rubin Foundation for Morristown Medical Center

Hi Robin, I work for a hospital foundation we have about 266 beds. We utilize attributes 1) = do not solicit (date must always be completed) 2) = Do Not Solicit Reason and I have a table that matches the reasons (requested opt out, mail returned, Admin team requested no contact, Power of Attorney/Caregiver request, contacted Privacy Officer, contacted Compliance Officer) (date must always be completed) 3) = Method informed of Do Not Solicit with table (phone, email, mail, website, in person, Executive) I don't know that these attributes will work for your organization but this works for our reporting and tracking needs. I prefer attributes b/c you can mark the dates (which is a must in my book),query with ease and thus report out for whatever scenarios the powers that be may wish to see. With the new HIPPA law your organization can be held responsible for someone receiving any solicitation after he/she asked to be removed even if name and/or address changes. The fines and penalties are steep. Check out this article for more information http://www.ahp.org/advocacy/us/HIPAA/Analysis/Pages/default.aspx Good luck Jeannine
