Do Not Mail Responses

By law, we put "please remove my name..." on everything we send to our donors and patients.  I code our donors in RE easily with do not mail, No mail, do not solicit etc..., but when we receive patient lists or any other outside lists (where most names are not in our system), I try to put their information in a spreadsheet and ask the mail house to purge them from future mailings.  Does anyone have a better system for making sure these non-donors are not solicited again?

     Do you mean like an exclusion list?

    Whenever we use an acquisition or trade list, I pull all of the people that should not be solicited or are deceased and tell the mail house to compare and pull anyone from my exclusion list from the mailing. 

    They should only compare it to additional lists, the lists you're pulling from RE of your own data should have already excluded these folks. I say this because a mail house once compared my exclusion list to my RE mailing list and slashed a lot of people they shouldn't have: specifically the surviving spouses of deceased individuals based on same last name and same address.
