Principal Accountabilities:

Coordinate and oversee the Institute's overall gift and grant entry process for all program and fundraising activity. Ensure all charitable giving is recorded and reported in compliance with IRS and GAAP regulations.  Serve as the Accounting Department liaison to Development department and Programs related to charitable giving.

 

Raisers Edge Responsibilities:

  • Review and approval of daily batch entry and subsequent data interface between Raiser's Edge and the Financial Accounting System
  • Prepare and record financial adjustments to gift records as needed, based on documentation and donor intent.
  • Prepare all related Raiser's Edge monthly reports and reconciliations to GL.
  • Act as Accounting Liaison to Development, particularly in the area of gift application and reporting.  Includes attendance at weekly Development staff meeting.
  • Responsible for accuracy and audit requirements relative to Raiser's Edge Gift Entry to include reporting, reconciliations and documentation.
  • Responsible for substantiation of charitable tax deduction and all related tax statements.
  • Responsible for Fund ID setup and maintenance in Raiser's Edge.
  • Responsible for recording all sponsorship activity in Raiser's Edge and ensuring information reconciles to GL.
  • Lead responsibility for developing custom reports and exploring available new reporting options from Raiser's Edge database.
  • Work closely with Director of Development Operations on all issues relating to RE data structure, project development and new initiatives.
  • Coordinate and prepare gift and revenue reports and documentation to support the annual audit and Form 990 tax return.
  • Propose, develop, implement or maintain policies and procedures to ensure all charitable giving is recorded in an accurate and timely manner.
  • Global educational outreach to staff on charitable gifts issues including maintenance of Charitable Giving Guide and other materials.
  • Coordinate and document Quid Pro Quo issues on event and membership with Development and Program management.
  •  Maintain Chart of Accounts including maintenance in constituent database, financial software, budget and forecast software, travel & expense reporting system

Supervisory Authority

  • Supervision of Financial Assistant who's responsibility includes data entry for all incoming gifts, tax receipt processing, daily data deposit and prelist, gl reconciliations and Petty Cash as well as administrative support to Accounting Department.

Knowledge, Education and Experience:

  • Expert knowledge of gift and pledge management and reporting.
  • Understanding of IRS and GAAP regulations related to gift and pledge acceptance.
  • Strong technology skills including Microsoft Office.
  • Proficiency in Raiser's Edge database a must.
  • Advanced verbal and written communication skills and the ability to present work effectively.
  • Excellent communication, analytical, organizational and planning skills.
  • Strong attention to detail a must
