Gift reporting - Businesses

Hello,

I have been requested to create an export on business giving to our organization. The director would like to see all constituents in the database who coded "business" and would like to see if they have given or not and the amount which they may have given (with blanks representing zero amounts). The director is used to using a system that dumps the data into excel and formats into columns as follows: Org Name and address with columns that represent fiscal years and within those rows the gift amount. Can anyone think of the best course of action? I have run gift detail and summary as well as constituent giving reports but the information is sorted by constituent with the giving listed below each record. If I use export, I will have to manually line up the fiscal years for a thousand records. I am currently trying a crystal report but I don't seem to be getting the layout that is requested. Any advice would be greatly appreciated!

    Exactly how many fiscal years does this person expect to see. I think export is your best course of action. and maybe they would settle for one for each of the last 5-10 FYs and one total for the ficals years before that.

    One alternative you did not mention is a pivot report but unfortunately the pivot reports within RE will have a challenge with Fiscal Year. You could export and do the pivot report yourself in Exvel but - a pivot report would not show those who have $0 - they would have to have a gift to get into the gift query/export.

    Do you need total giving per FY or do you need to list each gift?  If FY, as Melissa mentioned, a Constituent export would work.  Export each year's Total Giving Amount.

    Ditto on using Export.  I've exported something similar for years.  Good question raised on if you want total amount or each gift.  We use total - keep in mind each gift will list every monthly gift, every payroll etc. 

    Go to the Export function, use your query of business records .  Out put the bio info you need and then go to Summary info > Gifts > total amount.  Select any specifics you need like date between for the first year, gift types, funds etc.  It's a little work to get set up initally but I just add a new year to use this same export again and again. To set criteria for the next year, highlight "Summary Information" in the right pane and then click Total Gift Amount in the left pane.  You'll get the pop-up to select criteria for your second year.  That's the trick to repeating same field again with different criteria.

    Thanks to all who responded! I ended up doing the constituent export. I needed all FY in the database - luckily we only have twenty one years. We decided to go with summary total for each year.
