Parent, Student Directory

Options

We are researching how schools use Raiser's Edge to create their parent/student directories.  Our directory needs to include information for the parents including multiple (more than two) phone types for both spouses (some spouses do not have a separate record of their own) as well as the names and grades of their children enrolled at the school.  It would look similar to what is below. <?xml:namespace prefix = o ns = "urn:schemas-microsoft-com:office:office" />

All of this information is captured in Raiser's Edge, but we haven't used that data to create the directory.  We are exploring a customized Crystal Reports option to create the directory.  We would need that Crystal Report created either by Blackbaud or an independent contractor.  Either would be costly, so we are exploring all options.

We welcome any feedback on how you create your directory, and if you use Crystal Reports or go through another export/merge module like Microsoft Access.

Sample record:

Jones, Jason and Jan                                       Lily - PK                      (844) 448-5077-h

801958 Bluebonnet Road                             Annalise-1                 (226) 765-5864-fw

Apt. #1999-9                                                                                       (844) 276-3399-fc

Baton Rouge, LA 70810                                                                     (844) 822-8270-mc

We used to pull everything out of Raiser's Edge, but now we pull everything out of Education Edge and we do have a Crystal Report that pulls everything for us into the directory format we would like.  It is really pretty slick.  We then send that file - exported to Word to our designer to drop in and play with in her design editor.  I have a consultant that would be great if you are interested.  She is in MN, but very good in RE, EE, and Crystal, and works remotely very nicely.

We have exceptions for how we alphabetize dual household families - we list both parents (alpha) with step-parent tied to the parent.

    Our listing looks like this:

    JONES, Annalise (1); Lily (PK)

Jones, Jan and Jason                        (612) 123-4567

       1234 Anywhere Street

       Minneapolis, MN 55402

If there is another parent, we would list that parent (& step-parent), address and home phone separately underneath the student.

New this year, we will also be printing photos of all students - in a separate section.  The designer is handling that portion, so can not give details on that except that we have all our photo's named with the student ID number found in EE (same as the RE const ID) so we can import them into EE and have an online version of the directory that is always updated directly from the database.  We are going to hire Blackbaud to do some customizations for us as well to the CSS to make the headers "nicer."

     Good Luck!
