All Constituents not showing on crystal report? HELP

I have created a dynamic query with who I want to be in my crystal report. I then when and created an export. Did all the steps in crystal. I got the report just like I wanted it. I was able to go back to Raiser's Edge and run the report. But today I had to add more constituents to the query by adding the attribute that the query pulls from but the crystal report doesn't automatically update those. How can I get that to work? Help I don't have support for Crystal and we don't have it in our budget to pay the $175 an hour for support.

    In the custom report setup in RE - Did you check the box that says "refresh export"?

    Hi Rhonda,

    If you are using Crystal Reports XI, data or constituent records may suddenly become missing or fail to show on a report after adding a field to the report.

    This normally occurs in Crystal Report XI if the table joins in the report are set to "inner join" and a field is added that may possibly contain blank data. The recommended solution is to change all the table joins to "left outer join". This issue may also occur if the inserted field has a NULL value.

    If you are using Crystal Reports XI, solution BB339594 has step by step instructions on changing the table joins.

    check what filters and groups you have set up in the Crystal reports.  Sometimes that could prevent constituents from showing up.

     If you added the attribute after the export was created, you should open the report and from the Database Menu, select Verify database. Then it should recognize the additional field.

    It may be worth creating a copy of the export, and then changing the output to a csv or Excel, running it and then checking that the export is giving you the expected number of constituents. that way you at least know if the problem is with Crystal or your export.

    This is a dynamic constituent query/export and yes I've tried and exported into csv and all my records show up. I don't have support for crystal reports so I'm unable to look to see how to fix the left outer joins. I have verified database as well. Yes it is crystal reports XI.

     When you are in Crystal Reports in your report template, go to the Database menu and select Database Expert.  When the Database Expert opens, go to the Links tab.  Then right-click on one of the lines (links)  linking your tables to each other and select Link Options...  When that opens, select Left Outer Join. Repeat the process for every link. It is monotonous, but it works.  Good luck!

    I did the links and so now I'm getting this error!

    Database Connection Error.....join expression not supported.

     This is so frustrating!

    Sounds like you may have missed one of the joins.  If they all have an arrow between the tables, check the join.

    You can contact support at Blackbaud for help with Crystal.  It's not an hourly charge unless they are doing a report start to finish.  I create Crystal cases all the time and they are absolutely WONDERFUL to work with.  They can do a livehelp session and show you on your screen how to do the links, possibly add a selection statement to account for your attribute, etc.

    You were right I missed one of the joins. Thanks so much for everyone's time and help in this matter. Blackbaud was wanting to charge me an hourly rate because I don't have maintence for crystal reports and it is just not in our budget at this time.

    Teresa - I believe only certain maintenance levels get free crystal support. Sounds like you have it (as do I) but not everyone does. I totally think it is worth it to have the higher maintenance level for crystal support alone.
  • I agree and Stacey and Ron at Crystal Reports are very helpful in fixing reports. I also had a problem with the left outer joins when my crystal report version was updated to another version.
