Awarding Different Amounts for Fall & Spring

We have several scholarships that award different amounts for the Fall semester and the Spring semester. These awards are typically related to student fees and tuition, so departments won't know how much to award until the student receives their bill for the upcoming semester.

Does anyone have any experience using BAMS to award different amounts for the fall and the spring? Or how to advise departments administrators to tell us the allocation? We use PeopleSoft - our other concern is how to import Spring awards into PeopleSoft without cancelling the fall portion that was already awarded or having the award total split evenly between both semesters.

    We have also had a similar issue. We (UW-Madison Office of Student Financial Aid) are still working on development, but we are trying to build out a process in Peoplesoft to accommodate this issue with tuition scholarship in particular. For context, I am not a developer but I will try my best to convey what the plan is.

    We plan on using Peoplesoft’s delivered functionality of repackaging plans to update these scholarships to match the tuition and fees on the student’s account. So, the scholarship administrator would award for the year using whatever last year’s tuition amount was. The BAM awarding API would pick up that award information and we would import it into Peoplesoft using External Awards like we do with all scholarships. The award would then go on the financial aid offer. Next, the repackaging plan would run and it would add up the tuition and fees from the customer account and update the scholarship amount. We would run the repackaging plan regularly to catch any enrollment, and thus tuition, changes.

    There are other specifics such as how we will identify what awards need this process but this is the general concept. Since we are still in the developing stage, I cannot tell you how well it is working out for us but our Systems/developing team seems pretty confident. For non-tuition scholarships that are split unevenly, we have not yet come up with an automated solution.

    We have a few scholarships that we award in Fall and Spring.  What I do is, is clone the opportunity and just change the application and review dates and update the number of awards and dollar amounts. Then, as students apply, they are considered for one and not the other (based on the application start and end dates).  There are minimum and maximum dollar amounts you can fill in towards the bottom of the Details tab. Since you are awarding based on fees and tuition, you can put the smallest fee amount (minimum amount) and the maximum tuition amount (maximum amount). When students apply, they can see that there is already a set range of the award amount they might receive.
